COURT CLERK ASSISTANT

Position Summary

The Court Clerk Assistant provides administrative, clerical, and courtroom support for the Municipal Court Division. This entry-level position assists with court operations, customer service, records management, and courtroom procedures while ensuring compliance with applicable laws, policies, and court regulations.

Essential Duties and Responsibilities

Leadership and Customer Service

Demonstrate professionalism consistent with the City’s mission, vision, and values.
Provide courteous and responsive customer service to the public, court personnel, attorneys, and law enforcement agencies.
Support continuous improvement initiatives within the Municipal Court Division.
Maintain a positive, ethical, and collaborative work environment.

Court Administration and Operations

Receive, process, post, and deposit court-related payments, including fines, fees, bonds, and citations.
Maintain accurate financial and court records in accordance with established procedures and state retention requirements.
Assist with preparation and organization of court dockets, files, legal forms, and case documentation.
Enter case dispositions and adjudications into court management software during court proceedings.
Ensure all court documents are complete, accurate, properly signed, and filed in compliance with Georgia law and court procedures.
Process incoming and outgoing correspondence and distribute documents to appropriate court staff.
Scan, file, and maintain legal records, citations, warrants, and related court documentation.

Courtroom Support

Prepare and sanitize the courtroom before hearings.
Assist judges, solicitors, clerks, and court personnel during court sessions.
Serve as court runner or marshal when needed.
Record case dispositions and maintain courtroom documentation during proceedings.

Communication and Teamwork

Coordinate with the Police Department, DeKalb County Jail, attorneys, judges, and other agencies as necessary.
Respond professionally to inquiries from the public regarding court policies, procedures, and cases.
Communicate clearly and effectively both verbally and in writing.
Work independently while contributing effectively within a team environment.

Minimum Qualifications

High school diploma or GED required.
Paralegal certification or equivalent combination of education and experience preferred.
Prior courtroom, clerical, or administrative experience preferred.
Ability to obtain GCIC Operator Certification within 30 days of employment.
Notary Public certification or ability to obtain certification.
Bilingual in Spanish is a plus
Valid Georgia driver’s license with acceptable driving record required.

Knowledge, Skills, and Abilities

Proficiency in Microsoft Office Suite, Adobe products, SharePoint, DocuSign, Seamless Docs, and court management systems.
Strong organizational skills with exceptional attention to detail and accuracy.
Ability to handle confidential information with professionalism and discretion.
Strong interpersonal and customer service skills.
Ability to manage interruptions, shifting priorities, and strict deadlines in a fast-paced environment.
Ability to lift and carry up to 50 pounds and perform physical tasks such as sitting, bending, squatting, and twisting as required.

Additional Requirements

Must maintain a professional appearance and demeanor.
Must have no violations involving moral turpitude.
Must successfully complete any required training and certifications related to court operations.
