Full Job Description

Executive Assistant to the Owner

A-Z Enterprises is a multi-vertical operation based in Wapakoneta, Ohio. We run The Family Hub Landing Zone, a downtown indoor family entertainment venue, a multi-tenant commercial building at 10 W. Auglaize housing A-Z Total Fitness, Afterglow Salon and Spa, The Hive Coworking, Voice Vault Recording Studio, and Elevated by Elyse, a 53-lot manufactured home community in Pikeville, Kentucky, and an active mobile home acquisition and renovation operation across Ohio and Kentucky.

The owner is on-site and in the field, not behind a desk. This role exists to make one person more effective. You work for the owner directly. You are not assigned to a department, you do not report through a manager, and you do not get pulled onto someone else's project list. Your job is his day, his money, his follow-through, and the things that fall through when he is driving between two states.

This is a high-autonomy seat with real access. It is also a real test. If you need direction three times a day, this will not work.

What you will actually do

Own the owner's calendar, task list, follow-ups, and daily priorities, and protect his time like it is the scarcest thing in the company. Filter every inbound channel: calls, texts, email, and team messages. Decide what he sees, when, and what you handle without him.

Run the books at the operator level. Categorize and reconcile transactions, track spend against project budgets, catch duplicate charges and subscription leaks, prep clean numbers for the accountant, and keep a running read on where the cash is going by property and by project. You will not be filing taxes. You will be the person who knows the number before he asks for it.

Use AI as a daily tool, not a novelty. We run on Claude, GoHighLevel, Lovable, Supabase, Stripe, and the A-Z Command Center, our internal operating system. You will draft, summarize, build documents, clean up dictated notes, and pull reports using AI every single day. If you already do this, say so and show me how.

Support marketing without owning it. We have a content and social lead. You will keep campaigns on schedule, keep leads and tags accurate in GoHighLevel, proof copy before it goes live, and make sure nothing sits half-finished.

Draft communications, notices, proposals, and internal documents to a send-ready standard. Coordinate with contractors, park managers, and remote team members. Maintain project trackers and operating logs in real time. Sit in meetings, take real notes, and convert them into action items with a named owner and a date. Travel to project sites in Kentucky and eastern Ohio as needed. Find the gaps, the bottlenecks, and the dropped tasks before he has to ask.

About the kids piece, because it is real

The owner's three kids are in and around the business. The Family Hub is a family entertainment venue built for kids, and the family story is the brand. You will be around children regularly, at the venue and sometimes with the owner's family. You do not need childcare experience. You do need to be genuinely good with kids, patient, and comfortable in a building full of them. A background check is required.

What we are looking for

Real experience as an executive assistant, operations coordinator, office manager, or chief of staff. Bookkeeping or finance experience, QuickBooks or comparable, and real comfort in spreadsheets. Hands-on daily use of AI tools. Strong written communication, meaning you can write a professional email or a firm contractor notice cold, with no template. Fluent in Google Workspace and quick to pick up new software. Organized to the point that it is a personality trait, with a bias toward action. Discretion is absolute, since you will see financials, legal matters, and personnel information. A valid driver's license and reliable transportation.

What this is not

Not remote. Not part-time. Not an administrative seat where you wait to be told what to do. Not a role where you are managing a team.

Pay and location

$55,000 to $70,000 per year based on experience. Performance bonus of $1,500 per quarter, up to $6,000 a year, paid on three things: the owner's daily priorities closed on time, the books clean and current at quarter end, and zero dropped balls on tracked commitments. Full-time, in-person, Wapakoneta, Ohio.
