Administrative Assistant

Allenby Cosmetic Dermatology is seeking a warm, organized, and service-oriented Administrative Assistant to join our growing team. As the first point of contact for our patients, you will play an essential role in creating an exceptional experience while supporting the daily operations of our busy cosmetic dermatology practice.

We are looking for someone who thrives in a fast-paced environment, genuinely enjoys helping people, and has a passion for aesthetics, beauty, and wellness. The ideal candidate is highly organized, detail-oriented, and naturally builds rapport with patients while confidently supporting treatment recommendations and skincare product sales.

Responsibilities

Provide a warm, welcoming, concierge-level experience for every patient from check-in through check-out.
Answer incoming phone calls, emails, and text inquiries promptly and professionally.
Schedule, confirm, and coordinate appointments while optimizing provider schedules and patient flow.
Draft correspondence, maintain patient records, and complete a variety of administrative and clerical tasks.
Assist patients with questions regarding treatments, skincare products, pricing, memberships, and financing options.
Build meaningful relationships with patients through exceptional customer service, active listening, and personalized care.
Support providers by preparing paperwork, coordinating patient communications, and ensuring seamless daily operations.
Process patient payments, maintain accurate records, and balance daily transactions.
Promote physician-recommended skincare products, memberships, and aesthetic services through an educational, consultative sales approach.
Follow up with prospective and existing patients to answer questions, encourage appointment scheduling, and strengthen patient retention.
Collaborate with physicians and team members to deliver an outstanding patient experience while maintaining efficiency throughout the practice.
Maintain a clean, organized, and professional reception area that reflects our commitment to excellence.

Qualifications

Previous experience in an administrative, front desk, medical office, hospitality, retail luxury, or customer service role preferred.
Previous experience in a cosmetic dermatology, medical spa, plastic surgery, or aesthetic practice is a plus.
Outstanding interpersonal skills with the ability to make every patient feel welcomed, valued, and cared for.
Passion for delivering exceptional customer service and creating memorable patient experiences.
Strong communication skills, both written and verbal.
Excellent organizational skills with the ability to prioritize multiple responsibilities in a fast-paced environment.
Professional appearance and positive, team-oriented attitude.
Strong attention to detail and commitment to accuracy.
Comfortable discussing treatments, skincare products, memberships, and retail offerings with patients.
Experience with consultative sales, retail sales, or achieving sales goals is highly preferred.
Proficiency with Microsoft Office; experience with electronic medical records, practice management software, or QuickBooks is a plus.
