Administrative & Fleet Coordinator

Position Summary

We are seeking a dependable and organized Administrative & Fleet Coordinator to support our fleet, field operations, and general administrative functions. This position plays a key role in maintaining fleet records, managing employee travel, assisting with job costing and bookkeeping-related tasks, and providing administrative support across the organization.

The ideal candidate is detail-oriented, comfortable working with technology, numbers, and records, able to manage multiple priorities, and enjoys supporting a fast-paced, construction-focused environment.

Key Responsibilities

Fleet & Operations Support

- Help maintain organized records for Company fleet vehicles and equipment, including registrations, insurance, inspections, service documentation, and compliance records.
- Assist with maintaining accurate fleet logs, including mileage, service records, and related documentation.
- Assist with vehicle and equipment tracking, reporting, data entry, and other fleet-related administrative tasks.

Administrative & Financial Support

- Provide general administrative and data entry support to Accounting, Operations, and other departments as needed.
- Assist with bookkeeping-related tasks, financial data entry, recordkeeping, and document organization.
- Assist with job costing by entering, reviewing, researching, and organizing project-related costs and information.
- Research discrepancies and gather supporting information as needed.
- Prepare and maintain spreadsheets, reports, records, and other business documentation.
- Assist with special projects, research, and other administrative needs.

Travel Coordination

- Book and manage employee travel arrangements, including flights, hotels, and rental vehicles for project work.
- Research travel options based on project schedules, location, availability, and cost.
- Maintain travel itineraries and communicate schedules and changes with field staff.
- Assist with travel changes, cancellations, and other travel-related needs.

Qualifications

- Previous administrative experience required; experience in construction, transportation, fleet, or a similar industry preferred.
- Bookkeeping, accounting support, or financial data entry experience preferred.
- Experience with fleet tracking, maintenance scheduling, or fleet administration is a plus.
- Strong organizational, recordkeeping, and attention-to-detail skills.
- Comfortable working with numbers, researching information, and identifying discrepancies.
- Ability to manage multiple tasks, priorities, and deadlines.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with QuickBooks or similar accounting software is a plus.
- Strong communication skills and ability to coordinate effectively with field personnel, vendors, and internal departments.
