Full Job Description

Overview

We are seeking a dynamic and highly organized Assistant to the Chief Financial Officer (CFO) to join our executive team. This pivotal role offers an exciting opportunity to support the CFO in managing a wide range of administrative and operational tasks, ensuring smooth daily operations and facilitating strategic initiatives. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills, with a passion for streamlining processes and enhancing productivity. This paid position is perfect for someone eager to develop their career in finance and executive support within a non-profit environment.

Responsibilities

Provide and manage the financial and supporting operational services of the programs of CASA of the Seventh Judicial District.
Ensure the accurate and timely recording of all financial transactions to ensure the production of accurate and timely financial reports.
Provide clear communication to CASA Program Managers of grant objectives, rules and regulations, allowable expenses, and timelines.
Record and monitor financial transactions, provide progress/budget reports, and process monthly requests for funds.
Responsible for all aspects of accounting including proper coding of expenditures, balancing of accounts, funds request to grantors and other necessary reporting and accounting
Ensures reconciliations are prepared on a timely basis on all accounts.
Ensures proper documentation of all transactions, and the retention of that documentation.
Attend meetings, webinars, and trainings for grant applications/reporting, and disseminate information to stakeholders
Develop budget and spending plans with program managers in accordance with each grant's requirements
Monitor grant spending to ensure grants stay within budget and are fully expended by the end of their life
Monitor data entry, paperwork and other related documents connected with grant-funded programs
Prepares year-end and other necessary general ledger transactions to close and balance the financial records.
Assist with budget and audit preparation
Performs other related duties as assigned or requested.

Qualifications

Proven experience as an executive assistant or personal assistant supporting senior executives in a fast-paced environment.
Strong organizational skills with the ability to prioritize tasks effectively and manage multiple projects simultaneously.
Excellent written and verbal communication skills; adept at proofreading and transcription tasks.
Proficiency in productivity software such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace, Microsoft Outlook Calendar, and familiarity with DocuSign or similar electronic signature platforms.
Experience with bookkeeping software like QuickBooks; familiarity with data entry and clerical procedures is essential.
Skilled in project management tools, office management practices, and handling confidential information discreetly.
Technical proficiency in video conferencing tools (Zoom, Microsoft Teams), multi-line phone systems, and general computer literacy required.
Demonstrated ability to work collaboratively with C-suite executives while maintaining professionalism under pressure.
