Full Job Description

TITLE:

Front Desk Receptionist

REPORTS TO:

Practice Manager/Physician

POSITION SUMMARY:

Preparing the reception area prior to patients getting to the office. Greeting all patients upon arrival to the office. Checking patients in/out, collection of any balances due, or deposit amounts for procedures, along with copays/coinsurances/deductibles due. Uploading patient paperwork. Answering incoming patient phone calls, scheduling, scanning of documents, shredding as needed.

TYPICAL PHYSICAL DEMANDS/WORKING CONDITIONS:

Work may require sitting for long periods of time, stooping, bending and lifting. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier, fax and other office equipment as necessary. It is necessary to view and type on computer viewing a computer screen for long periods and to work in a fast paced environment which can sometimes be stressful. Many varied demands may be placed upon this position. Involves frequent contact with other staff and patients. Work may be stressful at times with many time constraints, restrictions and interruptions. Contact may involve dealing with upset or angry patients. Requires a person of congenial, stable disposition and personality who is open to a constantly changing medical environment.

JOB ROLE AND RESPONSIBILITIES:

Answers incoming telephone calls, properly routes calls, sending patient messages to appropriate staff members and documenting message correctly in the patient charts.
Schedules appointments for patients by following established office policies and procedures.
Clears voicemails and returns all calls each day.
Greets all patients that come into the office politely and with respect.
Cross reference insurance verification information to ensure that we are collecting the appropriate amounts due from patients.
Ensures accuracy of patient information and that demographic information is entered correctly in the patient charts/EHR system.
Processes proper insurance, address, demographic changes on each patient. Verifies that all information is correct and coincides with the information entered into the EHR.
Makes sure that all paperwork is completed at each visit, and that information is loaded accurately in the system.
Scans in new patient driver’s licenses and insurance cards or other necessary paperwork.
Organizes forms and required paperwork each day, to prep for next day.
Appropriately notifies clinical personnel of patient’s arrival for appointment.
Collects payments by cash, card or check, documenting payments in charts.
Making sure the journal balances at the end of the day and that all patient payments are properly posted to each patient account.
Maintains patient confidentiality.
Attends staff meetings as requested and provide any necessary feedback.
Supports check in/out, schedulers as needed.
As a representative of Pediatric Sports and Spine Associates, it is expected to maintain a neat and professional appearance, demonstrate commitment to service the patient at all times and uphold guidelines as set forth by this office.
All other office duties as required/assigned.

REQUIREMENTS:

Education: High school diploma required.

Experience/Skills: Preferably three years of experience in a medical practice setting.

EMR experience. Excellent customer service, excellent organizational skills, able to multi-task and set and meet priorities required. Must be familiar and knowledgeable with computers. Able to provide co-workers, patients, doctors, and management with responses in a positive, supportive and cooperative manner. Detail-oriented and good follow-through skills.
