We're looking for an Event Coordinator who thrives in a fast-paced environment, loves building relationships, and can take an event from the first inquiry through flawless execution.
Position Summary
The Event Coordinator is responsible for generating, planning, coordinating, and executing private events across multiple HB Hospitality venues. This role serves as the primary point of contact for clients while working closely with venue management, bar teams, kitchen partners, vendors, and ownership to ensure every event exceeds expectations.
This is a highly organized, customer-facing position that blends hospitality, sales, logistics, and project management.
ResponsibilitiesSales & Client Relations
- Respond promptly to event inquiries.
- Conduct venue tours for prospective clients.
- Build proposals, event packages, and customized experiences.
- Convert inquiries into confirmed bookings.
- Develop relationships with local businesses, hotels, convention attendees, real estate groups, wedding planners, universities, and community organizations.
- Identify opportunities to increase event revenue through premium experiences and add-on services.
- Maintain accurate client records and follow-up communications.
Event Planning
- Coordinate every aspect of booked events from initial consultation through completion.
- Create event timelines and operational notes.
- Organize floor plans, staffing needs, food service, beverage packages, entertainment, and rentals.
- Communicate event details clearly with all venue departments.
- Ensure contracts, deposits, invoices, and final payments are completed on schedule.
Event Execution
- Serve as the lead coordinator during events when needed.
- Welcome hosts and VIP guests.
- Resolve issues quickly and professionally.
- Ensure spaces are properly set and guest expectations are exceeded.
- Coordinate vendors including DJs, photographers, decorators, caterers, AV providers, and entertainment partners.
Venue Collaboration
- Work alongside General Managers and operations teams to balance private events with daily business.
- Coordinate staffing requirements.
- Communicate schedule changes and operational updates.
- Help create standardized event procedures across all HB Hospitality venues.
Business Development
- Actively seek new event opportunities.
- Network within Denver's hospitality and corporate communities.
- Attend networking events and industry functions.
- Build referral relationships with hotels, convention planners, apartment communities, wedding professionals, concierges, and local businesses.
- Help grow HB Hospitality's reputation as one of Denver's premier destinations for private events.

Preferred Qualifications
- 2+ years of event coordination, hospitality, hotel, catering, nightlife, or venue management experience
- Strong communication and customer service skills
- Experience with contracts, proposals, and invoicing
- Familiarity with Microsoft Office or Google Workspace
- Experience with CRM or event management software is a plus
- Ability to lift up to 30 pounds and move throughout multiple venues
- Reliable transportation

Compensation
- Contract Position
- Starting at $25-$30/hour, depending on experience
