Full Job Description

Medical Assistant / Admin– Functional Health Clinic

Position Summary

We are seeking a dependable, compassionate, proactive and highly organized Medical Assistant to support our leading functional and integrative health clinic. This hybrid clinical and administrative position is ideal for someone who enjoys working directly with patients to provide services while also helping administratively in a busy medical practice.

The Medical Assistant will support our main provider during patient visits, perform clinical procedures within their scope of practice, coordinate patient care, maintain accurate medical records, and assist with front-office and administrative responsibilities. The successful candidate will be proactive, detail-oriented, comfortable learning new therapies and technologies, and committed to delivering exceptional patient experience.

Key Responsibilities

Clinical Responsibilities

Prepare examination and treatment rooms before patient visits.
Welcome patients, obtain vital signs, document medical histories, and update medication and supplement lists.
Prepare patients for examinations, consultations, treatments, and procedures.
Assist medical providers during examinations and in-office procedures.
Perform blood draws, specimen collection, injections, and other clinical tasks.
Support IV therapy preparation and administration under appropriate medical supervision.
Perform or assist with diagnostic testing, body composition assessments and other clinic-specific evaluations.
Provide patients with provider-approved instructions regarding laboratory testing, supplements, medications, treatment protocols, and follow-up care.
Maintain infection-control standards and follow OSHA, HIPAA, and clinic safety protocols.
Clean, disinfect, and sterilize instruments, equipment, and treatment areas.
Maintain accurate, complete, and timely documentation in medical records.
Track clinical supplies, medications, supplements, and inventory, and notify management when items need to be reordered.
Support the clinic’s functional health, wellness, hormone, weight-management, IV therapy, aesthetic and regenerative treatment programs as applicable.

Administrative and Front-Office Responsibilities

Answer incoming telephone calls, respond to patient messages, and route clinical questions appropriately.
Schedule, confirm, reschedule, and coordinate patient appointments.
Check patients in and out while maintaining a professional and welcoming environment.
Collect payments and issue receipts.
Assist patients with intake forms, consent documents, medical-record requests, and required paperwork.
Coordinate laboratory orders, imaging referrals, prescriptions, prior authorizations, and outside medical-record requests.
Upload, organize, and accurately enter laboratory results and outside records into the electronic medical record.
Monitor provider inboxes, patient portals, task lists, and follow-up queues.
Contact patients regarding provider-approved results, recommendations, outstanding forms, and follow-up appointments.
Support patient retention by providing timely communication and a high level of customer service.
Assist with opening and closing procedures, daily schedules, filing, scanning, faxing, and general office organization.
Help maintain patient education materials, clinic forms, treatment protocols, and standard operating procedures.
Participate in team meetings, staff training, clinic events, and patient-education initiatives.
Perform other clinical and administrative duties as assigned.

Required Qualifications

High school diploma or equivalent.
Completion of a Medical Assistant training program or equivalent clinical experience.
Medical Assistant certification or registration preferred or required according to clinic and state standards.
Proficiency in blood draws.
Current CPR or Basic Life Support certification.
Previous experience in a medical office, wellness clinic, specialty practice, or outpatient setting.
Knowledge of medical terminology and willingness to learn functional medicine and aesthetics.
Exceptional interpersonal skills: compassionate, patient and able to communicate clearly with diverse patients and team members
Ability to multitask, prioritize and adapt quickly in a busy setting.
Experience taking vital signs, documenting patient histories, and assisting with clinical procedures.
Strong computer skills and experience using electronic medical record and scheduling systems.
Excellent written and verbal communication skills.
Ability to protect confidential patient information and comply with HIPAA requirements.
Ability to multitask, prioritize responsibilities, and remain composed in a fast-paced environment.
Strong attention to detail and commitment to accurate documentation.
Professional appearance, positive attitude, and patient-centered mindset.

Preferred Qualifications

One or more years of experience as a Medical Assistant.
Knowledge of BHRT a plus.
Experience in functional medicine, integrative health, hormone optimization, medical weight management, IV therapy, regenerative medicine, or a cash-based medical practice.
Experience assisting with IV therapies or infusions.
Familiarity with specialty laboratory testing and functional health protocols.
Experience with patient memberships, treatment packages, supplement sales, or concierge medical services.
Knowledge of insurance verification, prior authorizations, billing workflows, or cash-pay practice operations.
Bilingual communication skills.

Physical Requirements

Ability to stand, walk, bend, and move throughout the clinic for extended periods. Ability to go up and down stairs throughout the day.

Ability to use computers, medical equipment, telephones, and standard office equipment.
Ability to follow infection-control procedures and safely handle clinical supplies and specimens.
