Job Summary

The Department of Mathematics is encouraging applications for the Undergraduate Program and Events Professional! This position serves to support the undergraduate program professional and the high number of student credit hours in the Department of Mathematics. This position also serves to assist with conference support and travel reimbursement for visitors and employees. This person will need excellent communication and organizational skills and the ability to successfully manage multiple events while maintaining compliance with State, Funding Agency, University and Department regulations and policies on official functions, procurement, travel and event management.

Who We Are

Welcome to the Mathematics Department of the University of Colorado Boulder. We have a broad range of research interests in Mathematics, including Algebraic and Differential Geometry, Combinatorics, Logic and Foundations, Mathematical Physics, Partial Differential Equations, Number Theory, Noncommutative Geometry, Operator Algebras, Probability, and Topology.

We presently have twenty-two tenured and tenure-track faculty as well as eleven postdoctoral fellows and visitors. The Mathematics Department has over fifty graduate students and serves well over five hundred undergraduate majors and minors.

What Your Key Responsibilities Will Be

Undergraduate Program Support

Co-manage curriculum changes in coordination with the Associate Chairs, academic advisors, and the Undergraduate program professional.
Monitors class enrollments and adjusts the course schedule and course locations to accommodate the high volume of demand for Mathematics courses. Identifies classes with under or over-enrollment and devises the best response possible to the situation.
In coordination with the undergraduate program professional, enter mathematics courses, recitations, and laboratories into CU-SIS for the fall, spring, and summer semesters. Revise and/or cancel course, recitations, and labs as needed.
Provides enrollment and waitlist assistance to all students taking mathematics courses. Enters and tracks class permissions.
Supports undergraduate program professionals for undergraduate students.
In coordination with the undergraduate program professional, manage FCQ administration, which includes distribution and reporting.

Event Planning and Management

Independently plan, manage, and implement a variety of department events, both large-scale and intimate, including outreach, donor, and staff/faculty/student events.
Use professional event management and communication skills to ensure successful event outcomes, with limited oversight but periodic review of projects.
Stay informed and ensure compliance with University of Colorado policies related to event planning, including parking, safety, catering, facilities/grounds, and university alcohol policy. Use professional methods to navigate and apply these policies effectively.
Independently manage event budgets, ensuring competitive pricing through vendor sourcing, timely payment of invoices, and adherence to department and university financial policies. Problem-solving within the scope of event budgeting should be conducted independently.
Purchase and track all materials required for events, such as décor, catering, and rentals. Establish and maintain relationships with vendors, handling contracts and invoices with minimal supervision.
Recruit, train, and supervise volunteers and student workers for event-related tasks. Ensure tasks are completed efficiently, providing guidance based on professional standards and practices.
Conduct event debrief meetings to evaluate success and areas for improvement. Recommendations should be made for enhancing efficiency, reducing duplications, and exploring potential collaborations, based on professional judgment.
Produce and manage communications for events to ensure high attendance.
This includes developing marketing materials and leading branding and messaging consistency across events.
Professional communication skills should be used to engage with the intended audience effectively.
Oversee the management of invitation lists, distribution of invitations, and recording of attendance, applying professional concepts to ensure accurate and efficient guest management.
Commencement and Special Events Management: Working with the undergraduate assistant to handle significant department events such as Spring commencement ceremonies, including budget oversight, vendor management, and coordination with campus partners.
Graduate Student Recruitment and Orientation: In collaboration with the Graduate Program Professional, manage recruitment visits and orientation events. Coordinate logistics such as travel arrangements, meetings, and meals, applying professional concepts to ensure a positive experience for recruits and participants. Fall Welcome Event: Independently manage the annual fall welcome event, including scheduling, vendor coordination, and budget tracking, applying professional standards to create a welcoming atmosphere for faculty, staff, and graduate students.
Manage or co-manage additional year-round events such as faculty and staff meetings, training events, colloquia, symposiums, faculty recruitment/ job talks, recognition events, and End-of-Year retirement/appreciation events. Management duties of these events are dependent upon the timing of these events within the department, as there can be significant overlap and scheduling conflicts.

Conference Support and Faculty Travel

Independently manage complex procurement activities, applying knowledge of departmental needs, sponsor requirements, and university, state, and federal regulations to ensure compliance while supporting research and operational goals. Serve as a key resource to faculty, staff, and administrators on procurement policies, providing guidance on purchasing processes and requirements.
Review and approve purchase transactions, including specialized and capital equipment, ensuring appropriate documentation, authorization, and compliance.
Monitor procurement and travel-related budgets, evaluating funding availability, identifying potential issues, and recommending adjustments to support effective resource management.
Manage travel arrangements, expense reimbursements, and related transactions, ensuring adherence to university policies, sponsor guidelines, and regulatory requirements. Provide guidance to faculty and staff on travel and reimbursement processes to promote compliance and efficiency.
In collaboration with department leadership and the supervisor, supports the evaluation and improvement, of procurement, travel, and reimbursement processes by identifying inefficiencies and recommending enhancements to workflows and systems.
Manage invoice processing, payment tracking, and reconciliation activities, resolving complex issues and serving as a primary contact for vendors and campus partners.
Exercise independent judgment to resolve non-standard procurement and financial issues, balancing compliance requirements with operational needs.
Collaborate with campus partners to interpret policies and address complex matters, and communicate technical financial information clearly to a broad audience.
Serves as a lead resource within the department for procurement, travel, and expense processes, providing guidance and support to other finance professionals on complex transactions, policy interpretation, and standard methodologies.

Other Duties/Special Projects/Process Improvements

Take initiative on assigned tasks and projects from the chair or supervisor, demonstrating the ability to manage a diverse workload with minimal supervision. Projects may include research initiatives, departmental enhancements, or administrative improvements that contribute to the department’s mission.
Analyze current operational processes within the department to identify areas for improvement.
Recommend and implement modifications to streamline efficiency, enhance productivity, and support the department’s strategic objectives. This responsibility involves both independent problem-solving and collaborative work with department personnel to refine goals and implement solutions.
Work closely with department personnel, including faculty and administrative staff, to clarify objectives, set achievable goals, and develop strategies for achieving them. This involves demonstrating professional knowledge and skills to facilitate effective communication and collaborative planning.

Standard Business Hours: 8:00 AM - 5:00 PM Mountain Time | Monday - Friday
Employee may be expected to be on campus Monday-Friday during onboarding, training, and/or professional development events/meetings.
Additional hours outside of the business hours may be required as needed.

The annual salary range for this position is $55,100-$60,000.

What We Require

Bachelor's degree from an accredited university.
A combination of education and relevant experience may substitute for a bachelor's degree on a year-for-year basis.
