This Administrator Designee position requires overseeing a residential assisted living facility for Gardens Care Senior Living that serves up to 16 residents. We require a servant's heart to serve seniors as well as strong leadership attributes that staff want to follow and superior knowledge on state regulations and compliance matters. Must have previous successful experience as an assisted living administrator and Qmap/caregiver. This position requires working a minimum of 40 hours a week for administrator duties and working scheduled floor shifts as well as being on call. The Administrator Designee is a salaried position that is eligible for earned bonuses totaling up to $1000 monthly, per home. Must have CDPHE-approved administrator certification or be willing to obtain within 90 days of employment.
DUTIES AND RESPONSIBILITIES:
1. Regular, punctual attendance with a cheerful, respectful, and courteous attitude towards all team members, residents, and family members.
2. Perform work functions with a team member approach; working for the best interest of the Gardens Care team as a whole which can mean working in every role as needed.
3. Assume portions of other roles when those roles are not filled to ensure smooth operations while recruiting for empty positions.
4. Implement orientation and education programs with company policy and procedures and philosophy of care.
5. Schedule employees and make assignments.
6. Recruit, interview, and hire caregivers and Qmaps to fill the needs of the schedule.
7. Cover shifts as needed when insufficient staffing is present for
any given shift.
8. Evaluate employees’ progress and implement coach and counseling as well as disciplinary action as necessary and/or directed.
9. Ensure that all caregivers and Qmaps have current CPR certifications and necessary licenses
10. Evaluate and meet the needs and care of residents.
11. Provide quality assisted living programs.
12. Monitor qmap processes to ensure safe practices are being met consistently.
13. Destroy and/or return medications to the pharmacy within 72 hours of them coming off of med cart when they are expired or discontinued.
14. Destroy narcotics that are expired or discontinued in the presence of a qmap and/or a nurse within 24 hours of expiration/discontinuation. All narcotics are to remain on the med cart under double count until the time there are two people present to destroy the medications per policy.
15. Maintain all logs, records, and processes mandated by state regulations. Always be ready and prepared for state surveys.
16. Interact with families, POA’s, residents, staff, providers, and pharmacy reps with respect and a calm, friendly demeanor.
17. Update care plans and conduct care conferences with POA’s quarterly at minimum and with changes of condition. Coordinate the timing of care conferences with other Gardens Care directors.
18. Keep Collaborative Care Dashboard updated and do all related assessments in a timely manner.
19. Supervise employees and ensure everyone is doing their assigned duties, attending all staff meetings, providing safe and compassionate care to residents, interacting with all staff members/directors with respect and courtesy, etc.
20. Time Cards. Ensure time cards are approved by employees on a daily basis. Have timecards be accurate and approved by both employees and yourself by the end of business day on Mondays of payroll week.
21. Keep all resident charts, care plans, and medications up to date.
22. Work closely with providers to ensure optimal health and well being of residents.
23. Work closely with providers and pharmacies to ensure ordered medications are accurately reflected in the MAR and stocked accordingly.
24. Monitor the qmaps for safe and accurate medication passes which are being done according to state regulations
25. Maintain infection control.
26. Keep up to date with state covid guidelines as well as Gardens Care covid practices. Ensure wellness team is educated and carrying out all of the current guidelines across shifts.
27. Maintain resident Bill of Rights, confidentiality.
29. Be familiar with all policies and procedures and follow them.
30. Maintain all equipment for safety and proper function.
31. Responsible for reviewing and follow up on incident reports. Incident reports to be fully documented within 72 hours of the incident occurrence.
32. Ability to read and decipher medications and charts.
33. Ability to edit MAR to update medication orders received by providers and/or pharmacy.
34. Notify POA’s with any change of condition.
35. On call- be available for emergency situations and any nursing questions or nurse assessments on a 24/7 basis.
36. Ensure that all new employees receive general and specific job training as well as required medical tests such as covid testing, drug testing, and tb checks prior to assuming actual job.
37. Constantly assess resident needs in relation to staff needs as a basis for determining priorities in designing and ongoing orientation program.
38. Incorporate state Department and Health standards into in-services training and orientation.
39. Lead a wellness staff meeting once a month.
40. Hold employees accountable to policy and procedures, state regulations, and behavioral expectations at all times.
41. Ability to maintain records and files for residents, employees, inventory and supplies.
42. Respond accurately to emergency situations.
43. Operate department within budget.
ADDITIONAL REQUIREMENTS:
- Education Requirements: Associate's degree (preferred) in sociology, human services, gerontology, or similar field.
- Experience Requirements: 2 years experience in leadership, working with all types of elderly residents
- Demonstrate ability to schedule staff, orient staff, do time cards, supply inventory, billing
- Must not be convicted of a felony and have favorable references and character check upon hire.
