About the Organization
Across the country, people are struggling to get by and get ahead. More than one-third of employed Americans struggle to make ends meet, and millions of young people see their talent unrealized when educational, training, and employment systems don’t meet their needs. At the same time, employers are hungry for new talent and struggling to fill open roles, while AI is creating both disruption and new opportunities..
Philanthropy has a critical role to play in helping people—especially those born into low-income households—prepare for and succeed in uplifting careers. It’s all too rare that a new, major philanthropy enters this field—and yet, that’s exactly what IntermediaryEd (provisional name!) is doing. IntermediaryEd is a newly-created philanthropy still in semi-stealth mode with a nearly half-billion dollar endowment, and we intend to leverage our resources toward helping people prepare for and thrive in uplifting careers.
With the support of an engaged and committed Board of Directors, our new CEO Rachel Korberg is currently recruiting members of a founding team to help build the organization’s strategy, operations, and staffing with a plan to launch publicly in 2027. This will be an exciting, fast-paced opportunity for people interested in building a new, long-term institution from the ground up, willing to roll up their sleeves and act as both leaders and individual contributors, and motivated by making an impact.

Hybrid Operating Model
IntermediaryEd operates under a remote-first, hybrid working model. We anticipate working in-person together for a minimum of one day every other week, as well as for quarterly staff retreats of two to three days. The in-person work will typically take place in northern NJ just outside of New York City at a location that is easily accessible by Amtrak, PATH, NJTransit, and airplane.
Employees are expected to live within a commutable distance of the greater New York City area.
Purpose
The Executive Assistant serves as a highly experienced strategic partner to the CEO, providing executive-level administrative, operational, and tactical support. This role is designed for a seasoned professional with the judgment, discretion, executive presence, and business acumen to anticipate needs, manage complexity, and protect the CEO's time so they can remain focused on the organization's highest priorities.
As a trusted extension of the CEO, the Executive Assistant orchestrates complex schedules, communications, meetings, and stakeholder relationships while proactively identifying and removing barriers to progress. They serve as a key liaison across internal and external partners, ensuring priorities remain aligned, decisions are well supported, and critical initiatives advance with precision, professionalism, and accountability.
Success in this role requires the ability to think several steps ahead, exercise sound judgment in a fast-paced environment, and operate with a high degree of independence, confidentiality, and excellence. The Executive Assistant is integral to the effectiveness of the CEO and the organization, enabling seamless execution, informed decision-making, and operational excellence.
Scope of Responsibility
- Strategic Calendar Management & Time Protection: Manage and continuously optimize the CEO’s calendar as a strategic leadership tool. Proactively sequence priorities, anticipate high-demand periods, protect focus time, and ensure the CEO is positioned for mission-critical decisions, staff leadership, board engagement, and external partnership visibility.
- Travel Coordination & Expense Oversight: Coordinate domestic travel and related logistics to support the CEO’s effectiveness, preparation, and wellbeing. Ensure travel plans are efficient and mission-aligned, anticipate risks and contingencies, and manage expense tracking and reconciliation with accuracy and policy compliance. Coordinate with the VP, Operations and Consultant, Board Travel to support Board Member travel for quarterly Board meetings.
- Executive Office Experience: Serve as a welcoming and professional point of contact for the Executive Office, ensuring stakeholders experience warmth, discretion, and strong organizational hospitality.
- Leadership Meetings, Convenings & Special Projects: Plan and execute logistics for leadership meetings, staff convenings, board-related engagements, and special initiatives. Coordinate timelines, stakeholders, and details to ensure engagements are purposeful, well-run, and aligned to organizational priorities and culture.
- Executive Communications & Priority Triage: Support the CEO’s communications by drafting, refining, and managing high-priority correspondence with clarity, diplomacy, and alignment to organizational tone and strategy. Triage inbound requests, elevate urgent or sensitive items, and ensure timely follow-through across internal and external communications.
- Briefing Materials & Leadership Decision Support: Prepare executive-ready briefing packets, meeting materials, and summaries that support informed decision-making. Maintain confidential records and reference systems so the CEO has immediate access to key information, talking points, and organizational context when needed.
- Meeting Preparation, Agendas & Follow-Through: Design meetings for clarity and outcomes by developing agendas, preparing pre-reads, and coordinating resources. Capture action items, monitor follow-through, and help ensure CEO commitments and decisions translate into timely execution.
- Executive File Management & Information Systems: Build and maintain an organized, secure, and intuitive executive information system, including naming conventions, version control, and confidentiality practices. Ensure smooth continuity, easy retrieval, and strong documentation discipline across CEO priorities.
- Flexible Executive Support & Emerging Needs: Adapt to evolving organizational priorities and CEO needs with sound judgment and a solutions-oriented approach. Provide responsive support across shifting schedules, new initiatives, and time-sensitive requests while maintaining discretion and high standards.
Relationships and Interactions
Internally Focused
- President & CEO and Executive Leadership: Partner closely with the President & CEO (and senior leadership as needed) to manage scheduling, coordinate meetings, support internal communications, and ensure leadership priorities are reflected across daily operations.
- Program and Operations Leads: Engage with program, finance/operations, and other leads to align executive priorities with organizational needs, key deadlines, and stakeholder commitments supporting smooth coordination across a lean team structure.
- Staff and Cross-Functional Teams: Collaborate with staff across the organization to coordinate meetings, track follow-through, and support cross-team workflows. Ensure internal communication and logistics remain cohesive in a smaller environment where teams often work across multiple priorities.
Externally Focused
- Board Members and Key Stakeholders: Support scheduling and communication for board-related meetings, check-ins, and executive engagements. Ensure interactions are timely, well-prepared, and reflect professionalism, discretion, and strong relationship stewardship.
- Vendors and Consultants: Serve as a point of contact for vendors, consultants, and service providers to coordinate logistics for meetings, events, and executive travel, ensuring strong follow-through and alignment with organizational needs and timelines.
- Peer Networks and Administrative Communities: Engage with peer administrative professionals and networks to share best practices, strengthen executive support approaches, and stay informed on tools and methods that support effective operations in small, mission-driven organizations.
Capabilities and Competencies
- Experience Requirement: 6+ years of progressively responsible executive support experience, including a minimum of 6 years supporting a C-Suite executive, with demonstrated success in high-trust calendar management, stakeholder coordination, discretion, and operational excellence.
- Professional Effectiveness & Execution Excellence: Highly reliable, detail-oriented, and responsive. Consistently delivers high-quality work under pressure, manages shifting priorities with composure, and maintains strong follow-through in a fast-paced environment.
- Executive-Level Writing & Communications: Produces polished, audience-aware communications on behalf of senior leadership. Distills complex information into clear, concise messages aligned with organizational tone, intent, and priorities.
- Stakeholder Management & Strategic Engagement: Navigates complex internal and external stakeholder relationships with diplomacy, professionalism, and confidence. Manages expectations, builds trust, and supports strong executive presence and responsiveness.
- Project Coordination & Operational Orchestration: Coordinates multi-step initiatives by organizing inputs, tracking milestones, managing dependencies, and ensuring consistent communication to maintain momentum and accountability.
- Risk Awareness & Preventative Judgment: Anticipates scheduling, operational, and reputational risks. Exercises strong judgment, evaluates tradeoffs, and implements mitigation strategies before issues escalate.
- Operational Administration & Executive Office Leadership: Ensures day-to-day executive operations run smoothly with precision and discretion. Maintains continuity, protects confidentiality, and upholds a high standard of service across executive office functions.
- Technology & Digital Fluency: Comfortable leveraging productivity tools and systems to streamline work, improve communication, and enhance executive effectiveness. Learns new platforms quickly and uses automation where appropriate.
- Fiscal Stewardship & Expense Integrity: Demonstrates strong accountability in expense management and administrative processes, ensuring accuracy, transparency, and alignment with organizational policies and financial stewardship expectations.

Pay: $80,000.00 - $100,000.00 per year
