FACILITY OPERATIONS COORDINATOR

WHY THIS ROLE EXISTS
The General Manager of Sportsplex Norwalk owns a lot of ground — two facilities, multiple revenue streams, dozens of tenants, and a full staff. To operate at the highest level and keep the business growing, the GM needs a trusted right-hand person who executes at a high level day-to-day.
The Facility Operations Coordinator is that person. This role is responsible for keeping the day-to-day machine running — so the GM can focus on growth, relationships, and strategy.
Where the GM will spend most of their time is in sponsorship sales, tenant growth, city relationships, programming development, and financial oversight. The Facility Operations Coordinator picks up the critical execution work that cannot slip: scheduling integrity, staff task management, concessions, and building standards.
ROLE SUMMARY
This role is the operational backbone of the facility. You keep the schedule clean, the building in shape, the staff moving, and the concessions running. You are the first call when something needs to get done.
CORE RESPONSIBILITIES
Daily Facility Oversight
- Execute opening and closing procedures for the facility
- Complete two full walk-throughs daily — indoor courts, turf, outdoor fields, bathrooms, entry, and sidelines
- Identify and log maintenance issues same-day into the tracking system
- Ensure facility is clean, safe, and presentation-ready at all times
- Coordinate with maintenance on follow-through and completion
Scheduling Support & EZFacility Management
- Serve as the day-to-day operator of the EZFacility scheduling system
- Enter and confirm all bookings — practices, games, rentals, camps, tournaments
- Flag unscheduled or unauthorized usage immediately to the GM
- Manage recurring rental confirmations and match them to contract terms
- Produce the weekly open-time report and utilization report by space and time block
- Assist with weather-related transitions (outdoor to indoor) and setup/buffer coordination
Staff Task Management
- Assign daily tasks to front desk staff and facility supervisors via Connecteam
- Verify shift checklists are completed — cleaning, operational duties, customer service standards
- Cover open shifts or coordinate coverage as needed
- Escalate performance issues to the GM with documentation
- Support onboarding for new hires
Concessions Operations
- Ensure the concessions stand opens on time, properly staffed, stocked, and clean every event day
- Verify POS functionality before each event
- Track inventory weekly and flag ordering needs to the GM
- Staff and stock appropriately for tournaments and high-volume events
- Record daily sales and flag discrepancies
Building Standards & Presentation
- Own cleanliness standards across all areas of the facility
- Manage deep cleaning rotations on a weekly schedule
- Maintain equipment storage, organization, and lost and found
- Ensure parking lot, exterior, and field areas are maintained and professional
Accounts Receivable Support
- Assist the GM in maintaining the live AR tracker
- Flag past-due accounts and outstanding balances for GM action
- Verify that all bookings in EZFacility are matched to payments received
- Identify unbilled hours or missed charges and report them immediately
Tenant & Customer Service
- Serve as the day-to-day point of contact for tenant questions and routine requests
- Escalate contract, billing, or relationship issues to the GM
- Ensure tenants are following facility rules and using scheduled spaces only
WHAT THIS ROLE DOES NOT OWN
This role is execution-focused, not strategy-focused. The following responsibilities belong to the GM:
- Final scheduling decisions and conflict resolution
- Tenant lease negotiations and expansions
- Sponsorship sales and partner relationships
- Programming development and launch
- City and municipal relationship management
- Financial reporting and final revenue accountability
- Staff hiring and termination decisions
WHAT WE’RE LOOKING FOR
Required
- 1–3 years of experience in facility operations, recreation, hospitality, or similar environments
- Comfortable using scheduling software and learning new systems quickly
- Strong attention to detail and follow-through — things do not slip through the cracks with you
- Reliable, consistent, and able to work weekends and evenings when events require it
- Team-oriented with a willingness to roll up your sleeves on anything
Preferred
- Experience in sports facility management, youth sports, or recreation programming
- Familiarity with EZFacility or Connecteam
- Prior concessions or food service experience
- Supervisory or team lead experience
SCHEDULE & COMPENSATION
- Full-time hourly or salary
- Schedule will vary based on facility events; weekends and evenings are required
- Reports directly to the General Manager
- This role is a strong pathway to a future GM opportunity as the organization grows

Pay: $35,000.00 - $50,000.00 per year
