Position Summary
Integrated Psychiatry PLLC is seeking an experienced, dependable, and highly organized Clinic Nurse / Office Manager to support the clinical and administrative operations of our outpatient psychiatric practice.
This is a hands-on leadership position combining clinical nursing responsibilities with day-to-day office management. The ideal candidate has prior clinic experience, strong organizational and communication skills, excellent clinical judgment, and the ability to keep a busy psychiatric clinic running efficiently while providing compassionate support to patients and providers.
Previous clinic experience is required. Experience and knowledge of psychiatric care is strongly preferred.
The Clinic Nurse / Office Manager will also support specialized psychiatric treatments, including Transcranial Magnetic Stimulation (TMS) and SPRAVATO® (esketamine) treatment services. TMS certification will be required within 60 days of hire, onsite training and certification provided.
Key Responsibilities Clinical Nursing & Psychiatric Care
- Support psychiatric providers with daily clinical operations and patient care.
- Communicate with patients regarding clinical questions, medication-related concerns, and provider instructions within the scope of the nursing role.
- Obtain and document vital signs and other appropriate clinical information.
- Assist with medication management workflows, including refill requests, pharmacy communications, and prior authorizations.
- Coordinate laboratory testing and review or route results according to clinic procedures.
- Assist with injections and other nursing procedures as appropriate to licensure, training, and clinic services.
- Maintain accurate, timely, and professional documentation in the electronic health record (EHR).
- Coordinate care with pharmacies, laboratories, primary care offices, specialists, and other healthcare organizations.
- Recognize urgent psychiatric or medical concerns and appropriately escalate them according to clinic protocols.
- Maintain patient confidentiality and comply with HIPAA and applicable clinical policies and procedures.
TMS Responsibilities & Supervision
- Complete required TMS certification within 60 days of hire.
- Assist with and/or administer TMS treatments according to provider orders, established treatment protocols, training, and applicable scope-of-practice requirements.
- Prepare patients for TMS treatment sessions and provide education regarding the treatment process.
- Monitor patients during treatment and communicate concerns, changes, or adverse effects to the treating provider.
- Accurately document treatment sessions and relevant patient information.
- Assist with scheduling, treatment coordination, equipment readiness, and other operational aspects of the TMS program.
SPRAVATO® Administration & Monitoring
- Support the clinic's SPRAVATO® (esketamine) treatment program in accordance with provider orders, clinic protocols, applicable prescribing requirements, and the SPRAVATO REMS program.
- Coordinate and prepare patients for scheduled SPRAVATO treatment visits.
- Obtain and document appropriate assessments and vital signs before, during, and following treatment as required.
- Provide appropriate clinical monitoring during the required observation period.
- Monitor for changes in patient status or potential adverse effects and promptly communicate concerns to the treating provider.
- Provide patient education regarding treatment-day procedures and provider instructions.
- Complete accurate and timely clinical documentation associated with SPRAVATO treatment.
- Assist with medication coordination, inventory, scheduling, and treatment workflow as appropriate.
Office Management
- Oversee day-to-day clinic operations and help maintain an efficient, professional, and patient-centered environment.
- Coordinate administrative and clinical workflows between Clinic Director, providers and office staff.
- Help manage scheduling, patient communications, incoming calls, forms, medical records, and other office needs.
- Monitor workflows and identify opportunities to improve clinic efficiency and patient experience.
- Assist with staff training, onboarding, scheduling, and daily supervision as assigned.
- Maintain appropriate clinical and office supplies and coordinate ordering and inventory.
- Help ensure office policies, procedures, safety requirements, and confidentiality standards are consistently followed.
- Troubleshoot routine operational issues and communicate significant concerns to clinic leadership.
- Serve as a reliable point of contact for staff, providers, patients, pharmacies, and outside healthcare organizations.
Required Qualifications
- Active nursing license in good standing.
- Previous out-patient clinic experience is required.
- Ability and willingness to obtain TMS certification within 60 days of hire.
- Experience working directly with patients and healthcare providers in an outpatient setting.
- Strong knowledge of clinical office workflows and medical terminology.
- Comfortable working with electronic health records and healthcare technology.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to prioritize multiple responsibilities in a fast-paced clinical environment.
- Professional judgment and the ability to appropriately handle confidential and sensitive information.
- Dependable, detail-oriented, and able to work both independently and collaboratively.
Preferred Qualifications
- Experience and knowledge of psychiatric and behavioral health care.
- Previous experience working in an outpatient psychiatry or mental health clinic.
- Experience with SPRAVATO® (esketamine) administration, patient monitoring, and treatment workflows.
- Previous TMS experience or TMS certification.
- Previous office management, clinic leadership, or supervisory experience.
- Experience with medication prior authorizations and pharmacy coordination.
- Experience supporting specialized psychiatric treatment programs.
- Experience improving clinical workflows and supporting multidisciplinary healthcare teams.
