Full Job Description

Looking to grow into an Operations Manager role? Join Effex Management Solutions as a Bilingual Operations Coordinator and help lead staffing operations for a major manufacturing client in Bartlett, IL. This role combines recruiting, employee relations, client management, onboarding, and workforce leadership.

Schedule: Mon-Fri 8am to 5pm some Saturdays (as needed)

General Responsibilities:

Reports directly to the onsite Program Manager and indirectly to the Vice President of Operations of Effex.
Responsible for the support of the Program Manager with daily operations of Effex’s contingent workforce and onsite team.
Liaison between the program manager, client, internal staff, employees and Effex.

Duties/Responsibilities:

Work closely with the Program Manager and client management to understand expectations and meet needs.
Generate and maintain client reports based on Program Manager and client needs on an as-needed basis.
Process and submit Weekly Site Analysis Report in the absence of the Program Manager.
Keep constant communication with Program Manager, client and employees to ensure customer satisfaction.
Assist the Program Manager to maintain staffing levels as required by the client. Ensure client orders are processed and filled timely.
Source and interview candidates for job openings.
Maintain candidate & employee database.
Check candidate references, drug test, and background screenings when required
Extend job offers. Schedule as appropriate.
Update and maintain timekeeping system.
Ensure new hire paperwork is completed and employees are fully documented and screening completed.
Maintain employee files and in the Program Manager’s absence, forward paperwork to corporate as required.
Process new hire shift check-ins.
Continual coaching/counseling/training of new and existing employees in conjunction with the Program Manager.
Assist with providing instructions on safety, policies, procedures, time reporting, reporting of absences, etc.
Conduct facility safety inspections; observe, determine & report unsafe conditions & unsafe employee actions
Complete on-the-job accident/injury reports. Forward to the HR Manager. Direct employees on proper procedure for filing claims; direct to appropriate medical facility if necessary.
Collect data for time worked and distribute, for approval, to department managers.
In the Program Manager’s absence, weekly distribution of approved timesheets to payroll department for processing.
Distribute payroll checks.
Follow-up on payroll discrepancies.
In the Program Manager’s absence, audit payroll, manage attendance, new hire, and terminations process.
In the Program Manager’s absence, inspect reports and processes for accuracy.
Monitor attendance, track tardiness, and absences. Request supporting documentation if required.
In the Program Manager’s absence, audit payroll, attendance, new hire, and terminations process.
Run Reporting Manager as needed.
Document and maintain SIW/SOP’s.
Prepare and deliver disciplinary notices as needed.
Maintain termination paperwork and prepare Separation Notices. Submit to Corporate HR.
Attend client meetings at the Program Manager’s request or in the absence of the Program Manager.

Education/Experience:

Previous on-site experience preferred.
Staffing/Recruiting experience preferred.

Skills/Competencies:

Strong computer skills. Knowledge of Outlook, Word, Excel, Internet. Ability to quickly learn new systems.
Operate with integrity and ethics at all times.
Proven leadership ability.
Excellent verbal & written communication skills.
Rational thought processor, exercise sound judgment and independent decision maker.
Ability to work with minimal supervision.
Able to meet moving and tight deadlines.
Excellent problem solver and critical thinker.
Professional presentation in all areas; appearance, paperwork, communications.

Special Considerations:

Attend client meetings, as needed.
Attend to client and employee issues after office hours in the absence of the Program Manager.

Physical Requirements:

75% Work is performed in office conditions, involving sitting most of the time.
75% Work may involve repetitive motion (i.e. constant keying, using fingers, or grasping of objects).
75% Work is performed in a somewhat crowded or noisy area where there may be mild discomfort due to temperature, dust or other conditions.
15% Work involves occasional exertion of physical effort (i.e. periods of standing, climbing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting)
5% Work involves constant exertion of physical effort (i.e. long periods of standing, climbing, stooping, kneeling, crouching, reaching, pushing, pulling, and lifting)
