Full Job Description

Job Summary

We are seeking a dynamic and compassionate Patient Access Representative to serve as the vital first point of contact for patients entering our healthcare facility. In this energetic role, you will manage patient check-ins, verify insurance information, and facilitate smooth scheduling processes. Your positive attitude and excellent communication skills will ensure every patient feels welcomed, informed, and cared for from the moment they arrive. This position offers an exciting opportunity to contribute to quality healthcare delivery while honing your administrative and customer service expertise.

Essential Functions and Responsibilities

Reception and Front Desk Operations

· Greet patients and visitors promptly and courteously; determine the purpose of each visit and provide directions or assistance.

· Answer, screen, and route telephone calls; take complete messages and respond to routine questions within the scope of the role.

· Maintain an organized, professional, and secure reception and waiting area.

· Notify the appropriate department or staff member of patient arrival and communicate delays or changes professionally.

· Manage visitor access, sign-in procedures, badges, and applicable facility security protocols.

· Receive and route deliveries, mail, documents, and faxes in accordance with departmental procedures.

· Performs other duties as assigned.

Patient Check-In and Registration

· Verify patient identity using approved identifiers and confirm demographic, contact, guarantor, emergency contact, and insurance information at each visit.

· Verify patient insurance and obtain prior authorizations when needed.

· Accurately enter, review, and update patient information in the electronic health record, registration, and scheduling systems.

· Obtain required signatures, acknowledgements, authorizations, consents, and privacy documents; scan or index documents into the correct patient record.

· Review scheduled services and confirm that required registration, insurance, financial, and pre-service documentation is present; promptly escalate missing or inconsistent information.

· Collect copayments, deductibles, deposits, or other point-of-service amounts as assigned; issue receipts and reconcile funds according to policy.

· Follow downtime, duplicate-record prevention, patient-matching, and information-escalation procedures.

Backup OR Scheduling Support

· Provide backup coverage for the OR Scheduler during absences, peak workloads, meetings, or other designated periods after completing required training and demonstrating competency.

· Receive and process surgical scheduling requests from authorized physician offices and clinical leaders using approved scheduling procedures.

· Enter and update cases accurately, including procedure, date and time, surgeon, laterality/site, estimated duration, anesthesia needs, equipment or implant requests, and other required scheduling details.

· Verify that required orders and supporting documents have been received and route incomplete or conflicting information to the appropriate clinical or scheduling leader; do not independently make clinical determinations.

· Communicate additions, cancellations, reschedules, and other changes promptly to the OR team and affected departments using established escalation pathways.

· Help identify potential scheduling conflicts, block-time concerns, missing information, or resource needs and escalate them to the primary OR Scheduler, Patient Access Manager, OR leadership, or other designated authority.

· Maintain accurate scheduling notes, call records, and change documentation to support continuity, charge capture, and audit readiness.

Pay: $22.00 - $30.00 per hour
