Executive & Personal Assistant / Operations Coordinator

Position: Full-Time (Preferred) or Part-Time
Location: Destin, FL (In-Person)

Position Overview

We are seeking a highly organized, trustworthy, and proactive Executive & Personal Assistant to support both business operations and personal responsibilities. This is a dynamic role for someone who enjoys bringing structure to busy environments, anticipating needs, and helping keep multiple businesses and personal affairs running efficiently.

The ideal candidate is detail-oriented, tech-savvy, financially responsible, and comfortable handling confidential information with the highest level of professionalism.

Key ResponsibilitiesExecutive & Administrative Support

Manage calendars, appointments, and scheduling
Organize physical and digital files
Sort, organize, and prioritize incoming mail
Prepare, scan, and file important documents
Manage emails and correspondence
Research vendors, services, and pricing
Coordinate meetings and follow up on action items
Assist with special projects and event planning
Create and improve organizational systems and workflows

Personal Financial & Household Management

Organize and pay personal and business bills
Track recurring expenses and subscriptions
Reconcile receipts and organize financial records
Assist with budgeting and expense tracking
Coordinate with accountants, attorneys, and financial professionals
Maintain confidential financial documents
Help manage household projects and personal errands
Plan travel, reservations, and itineraries

Turo Fleet Management

Coordinate vehicle scheduling and guest readiness
Schedule maintenance, inspections, and repairs
Manage registrations, insurance renewals, and documentation
Coordinate vehicle deliveries, pickups, and detailing
Track mileage, maintenance records, and expenses
Monitor reservations and communicate with guests as needed
Ensure vehicles remain clean, stocked, and operating efficiently

Nursing Home Administrative Support

Assist with administrative projects and daily office operations
Organize resident and business documentation
Maintain organized filing systems and records
Coordinate paperwork, contracts, and compliance documents
Assist with scheduling meetings and appointments
Track invoices, vendor communications, and administrative deadlines
Support management with reports, data entry, and operational projects
Maintain strict confidentiality in accordance with healthcare privacy standards

Personal Assistance

Organize home and office spaces
Run errands as needed
Coordinate appointments and personal schedules
Manage to-do lists and deadlines
Assist with shopping, returns, and household coordination
Help prioritize daily, weekly, and monthly tasks
Anticipate needs and solve problems before they arise

Qualifications

Exceptional organizational and time management skills
Strong attention to detail
Excellent written and verbal communication
Ability to multitask and prioritize in a fast-paced environment
High level of integrity and discretion with confidential information
Comfortable handling financial records and bill management
Proficient in Google Workspace, Microsoft Office, and cloud-based software
Ability to work independently with minimal supervision
Professional appearance and demeanor
Valid driver's license and reliable transportation

Compensation

Competitive hourly pay or salary based on experience, with opportunities for growth as responsibilities expand.
