Full Job Description

*Requirement: Real Estate License

Job Summary

The purpose of this position is to: a) be the primary contact and liaison between the property owners and the company, b) maintain, retain, and grow the owner’s portfolio, c) ensure that all properties are well maintained and rented in a timely manner, d) work directly with onboarding and marketing with owner, e) fulfill leases, renewals, and notices, f) facilitate move-outs and move-ins with Tenant Relations manager, g) process security deposits and/or rebuttals if required, h) help with routine inspections

Owner Relations

Monthly communication with owner regarding trends, rental rates, renewals of existing leases, tenant disputes and statements.

Daily communication with Leasing Administrator and Tenant Relations Manager regarding any new and vacant properties.

Document in detail all conversations with owners.

Onboarding of new properties to included rental comps, MLS entry, offers/price points for leases and renewals, weekly updates

Discuss any maintenance that requires owner approval (above $300 threshold)

Application Management

Final approval of all prospective tenants.

Finalize security deposits and /or rebuttals as needed

Point of contact for any security deposit disputes.

Prepare and send out security deposit transmittals.

Supervise Lease signings and renewals.

Administer evictions.

Accounting

Approve monthly owner’s statements in conjunction with accounting department and Tenant Relations Manager to ensure all credits and debits are accounted for and documented properly, including but not limited to vendor bills, owner credits and any other charges and credits on the statements.

Ensure owners are being charged their fees per PMA (Property Management Agreement) and Lease Agreement.

Monitor and implement collections process of delinquent owner and tenant accounts.

Work with Tenant Relations Manager on all reporting, training, software, workflow management and invoicing.

Account for all credit card expenses by submitting Credit Card Receipts daily.

Data Entry

Maintain MLS

Upload new properties including photos in PropertyWare, MLS, etc.

Maintain owner information in PropertyWare.

Update buildings regularly.

Maintenance

Pre‐Approve all work orders for major repairs over $300 or as stipulated by PMA.

Schedule and coordinate property turnover work orders with Owner Relations Manager

Report any turnover work considered to be an owner’s charge to owner

Team Support

Support growth and help nurture skill sets of employees new to our team pod in the tenant relations Manager role.

Maintain transparent communication within the pod, collaborate closely on tasks requiring joint effort and share knowledge on evolving tools and/or processes.

Business Development & Marketing

Be familiar with our contracts and comfortable promoting our company.

Perform Client Marketing Analysis (CMA) for any new owner prospects and sign PMA’s.

Work with Business Development and Marketing Manager on strategies, materials, and implementation.

Work with Business Development and Marketing Manager to acquire new properties for Residential Leasing.

Order photos and videos of new properties, as needed.

Complete New-To-Program Inspection and advise owners of necessary changes prior to marketing

Inspections

Work directly with Tenant Relations Manager to complete routine inspections twice a year

Perform move-in inspections prior to handing tenants over to Tenant Relations Manger

Final walkthrough of property once move-out inspection completed by Tenant Relations Manager

On‐Call

Be available to take after hours’ emergency calls as dispatched.

The above descriptions will be performed daily, weekly, or monthly as needed
