Position Overview
La Casa Cigars & Lounge is seeking a highly organized, dependable, and detail-oriented Assistant to the President. This individual will provide administrative and operational support to the President while helping coordinate the day-to-day activities that keep La Casa’s retail, lounge, membership, payroll, vendor, customer, and event operations running smoothly.
This is a hands-on administrative position for someone who is comfortable managing multiple systems, communicating with customers and business partners, solving problems, and following assignments through to completion.
The ideal candidate is proactive, professional, technologically capable, and able to work independently while keeping the President informed of important decisions, questions, and operational concerns.
Schedule and Compensation
- Monday through Thursday
- 10:00 a.m. to 6:00 p.m.
- Approximately 32 hours per week
- $20 per hour
- Paid semi-monthly
Primary Responsibilities
Administrative Support
- Provide daily administrative and organizational support to the President.
- Respond to La Casa-related correspondence and customer inquiries forwarded by the President.
- Track requests, payments, orders, events, memberships, and operational matters.
- Communicate with customers, members, retailers, vendors, employees, and business partners.
- Follow up on outstanding requests and ensure that important matters are completed on time.
- Keep the President informed of issues requiring approval, direction, or a final decision.
- Maintain organized records, operational documents, procedures, and internal information.
- Assist with special projects and other La Casa business needs as assigned by the President.
Payroll Assistance (will be trained)
Prepare and submit payroll information through Paychex
- Collect and review employee hours, wages, salaries, and bartender tip information.
- Gather payroll information from Homebase, employee time records, and other internal tracking systems.
- Review payroll information for completeness and accuracy before submission.
- Maintain organized payroll records while protecting confidential employee information.
(!) This position supports payroll processing but is not responsible for formal accounting, tax preparation, or financial reporting.
Membership and Customer Account Management
- Maintain member, membership, retailer, and customer information in QuickBooks and other internal systems.
- Assist with new memberships, membership renewals, payments, account questions, and record updates.
- Coordinate requests and activities involving VIP members and the VIP lounge.
- Communicate professionally with members and customers to resolve routine issues.
- Escalate unusual financial or membership matters to the President when necessary.
Retailer, Vendor, and Order Coordination
- Coordinate cigar, accessory, merchandise, and special orders for retailers, corporate customers, affiliated businesses, and individual customers.
- Communicate with vendors, retailers, and customers regarding pricing, availability, payments, order status, and delivery details.
- Help manage large, recurring, or specialized orders involving La Casa’s business partners.
- Coordinate with the appropriate La Casa employees to ensure orders are processed and fulfilled correctly.
Clover Point-of-Sale Administration
- Maintain product, pricing, and item information within Clover.
- Add, update, or remove bar, cigar, retail, and accessory items as needed.
- Review transactions and help identify payment or processing issues.
- Monitor disputed transactions and follow up until each matter is resolved.
Scheduling and Employee Coordination
- Help communicate operational updates, assignments, and expectations to staff when directed by the President.
- Identify missing time records or scheduling conflicts and follow up with the appropriate employees or managers.
Event and Hospitality Coordination
- Assist with scheduling events at La Casa and within the VIP lounge.
- Communicate with clients, vendors, employees, bartenders, and other participants regarding event details.
- Track event-related deadlines, requests, and outstanding information.
- Support member activities, seasonal promotions, retailer events, cocktail launches, and other hospitality initiatives.
- Help ensure that event information is properly communicated and organized.
Operational Support
- Help maintain the administrative systems that support La Casa’s retail, membership, lounge, and hospitality operations.
- Identify routine operational issues and work with the appropriate employee or manager to resolve them.
- Document important processes and update internal procedural guides when changes are made.
- Help ensure information is communicated accurately among the President, management, employees, customers, retailers, and vendors.
- Learn how the different areas of La Casa operate and provide administrative support across departments as needed.
Systems Used
The Assistant to the President will regularly work within the following platforms:
- Paychex
- QuickBooks
- Homebase
- Sonitrol
- Clover
Training and written procedural guides will be provided. The successful candidate must be comfortable learning several systems and using them accurately and consistently.
Qualifications
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities without losing track of important details.
- Experience in administrative support, hospitality, retail, membership services, office management, payroll support, or business operations.
- Comfort working with payroll, scheduling, point-of-sale, accounting, membership, and security-access software.
- Strong computer skills and the ability to learn new programs quickly.
- Ability to handle confidential employee, customer, membership, and financial information with discretion.
- Strong problem-solving skills and the judgment to recognize when an issue must be brought to the President.
- Professional and composed when communicating with customers, employees, vendors, retailers, and business partners.
- Dependable, punctual, and capable of working independently.
- A genuine desire to learn the ins and outs of the cigar business, including La Casa’s products, memberships, retail operations, hospitality services, customers, and industry practices, is highly preferred.
- Previous cigar-industry experience is helpful but not required.
Work Environment
The Assistant to the President will primarily work in an office setting and will not be stationed on the retail floor, inside the humidor, or in the bar area where cigar smoking regularly occurs. However, occasional exposure to cigars and tobacco smoke should be expected. Candidates must be comfortable working in this environment.
Ideal Candidate
The ideal candidate enjoys being the organizational center of a busy hospitality and retail business. This person is comfortable moving between payroll, customer service, employee scheduling, memberships, retailer orders, events, payment matters, and administrative technology throughout the day.
The successful candidate will not require constant supervision but will understand that final approvals and significant business decisions remain with the President. They will know when to act independently, when to gather additional information, and when to ask for direction.
They should also be genuinely interested in learning the cigar business from the inside out. Prior knowledge of cigars is not required, but curiosity, willingness to learn, and an appreciation for La Casa’s culture, products, and clientele are strongly preferred.
This position is best suited for someone who notices what needs to be done, communicates clearly, keeps excellent records, follows through on assignments, and takes pride in helping a business operate professionally and efficiently.
Pay: $20.00 - $21.00 per hour
