Job Summary:
The Administrative Services Coordinator provides administrative, customer service, financial processing, and operational support to Wendling Quarries' corporate office and field locations. This position serves as a primary point of contact for incoming telephone calls and office visitors while coordinating a variety of administrative functions supporting Accounting, Property Management, Mobilization, Credit, and other departments throughout the company.
The position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple responsibilities and requests from across the organization.
Wendling Quarries, Inc. (WQI) is a third-generation family owned and operated business that produces crushed stone, sand and gravel for individuals and businesses in eastern Iowa and western Illinois.

Job Duties:

Office & Customer Support
-
Answer and route incoming telephone calls and provide professional assistance to vendors, customers, employees, and others.

Receive, sort, and distribute incoming mail and coordinate outgoing mail

Maintain office equipment and supplies
-
Provide general administrative support to departments and employees as needed.

Property Management Support
-
Provide assistance to the Director of Property Management for company-owned and leased properties.

Assist with preparation and administration of lease renewals, lease terminations, and related correspondence.

Process and track farm and property rent payments.

Assist with maintaining property and lease records.

Support the annual property-tax process

Customer Payment & Accounting Support

Process and apply customer payments to appropriate accounts.

Utilize company accounting and payment-processing systems to accurately record transactions

Assist with invoice tracking and recurring vendor statements
-
Operational & Administrative Support
-
Order and maintain office supplies, mailing materials, and other commonly used supplies for the corporate office and company locations.

Make hotel and lodging reservations for drillers, field crews, and other employees as requested.

Assist the Mobilization Department with permits and related documentation as requested.

Coordinate the company uniform program, maintain the uniform tracking list, and process laundering statements and invoices
Job Requirements:

Must be 18 years of age or older

Acceptable driving record

Proficient with Microsoft Suite

Strong planning, organization, and communication skills
Hours: Monday - Friday, 7:00AM - 4:00PM (hours may vary based on needs)
