The mission of Academic Records is to serve our students, faculty, and staff promptly, equitably and courteously. The staff of this office provide essential support by providing record keeping services, interpreting rules and policies, furnishing factual data, and generally assisting Dickinson State University faculty, administrators and support staff members in the discharge of their duties.
DSU is looking to hire a Director of Academic Records/Registrar. The registrar’s position provides supervision, supports the development of the academic records staff, and Data Analyst and provides leadership in the use of technology to improve services. The registrar acts as a liaison, facilitating a positive relationship between and among entities that come in contact with the university. The position entails interpretation of campus, state, and federal policy in responding to opportunities and concerns related to academic records. The registrar prepares numerous annual reports at the request of the North Dakota University System Office, the State Board of Higher Education, the Governor’s Office, the campus President and Vice Presidents, and other administrative offices. Data analysis tasks will vary with University goals. Leadership responsibilities include serving in an advisory capacity on campus, community, state, and regional committees that demand a professional, articulate, and knowledgeable representative.

ESSENTIAL RESPONSIBILITIES AND DUTIES

Responsible for the planning, coordinating, directing, and maintenance of all academic records.
Create and maintain academic calendar for academic catalog and Campus Connection term session set up.
Supervise and assist with the creation of course schedules.
Manage all maintenance aspects of master catalog in Campus Connection and create online version of academic catalog.

Supervise and assist with course scheduling process; establishing timeline, creating room assignments, assigning course fees, and creating permission numbers.

Update Campus Connection master catalog with changes/additions/deletions approved through the University curricular process.

Maintain the master catalog in Campus Connection to be current with the academic catalog.
-
Create online course catalog utilizing Modern Campus) software, update programs, courses, and non-academic department information.
-
Maintain curriculum management system in Modern Campus, create and maintain CMS workflow, provide faculty training and serve as contact for CMS.

Serve as main point of contact with CTS for College Scheduler software. Maintain updates to software, provide up-to-date College Scheduler training information on DSU website and in-person trainings as necessary.

Responsible for the training and supervision of office staff, monitoring office budget, serve as CACO.

Responsible for the hiring, training, supervision, and performance evaluation of reporting Academic Records staff and Data Analyst.

Support appropriate professional development for staff.

Seek additional efficiencies and compliance with best practices in records management through new technologies, new software applications, and improved campus processes.

Assess, document, and report recommendations related to staffing needs in Academic Records.

Approve purchases on behalf of Academic Records.

Serve as the DSU Connect ND Campus Access Control Officer for the student information system, review, request, and maintain Campus Connection access for faculty and staff. Conduct review of all users/roles once annually.

Responsible for the coordination and monitoring of University and ND University System academic policies.

Serve on various University and ND University Systems committees according to University Policy or by direction of supervisor.

Interpret and implement university, SBHE, federal policies, and NDUS procedure as related to student records.

Serve as the liaison with Information Technology Services to produce reports and queries needed to generate new reports.

Participate in state and regional committees. Serve on numerous University committees, including Academic Affairs Council, Compliance Council, General Education Committee, Curriculum Council, and Teacher Education Council.

Retain membership in relevant professional organizations or associations.

Attend appropriate conferences and training.

Keep current on emerging trends and best practices in records management.
Commencement Duties

Serve as Commencement Planning Committee chairperson. Direct operations related to the

commencement ceremony.

Maintain commencement budget.

Serve as chairperson for the Outstanding Graduate Award subcommittee and member on the Student Speaker Committee.
COMPENSATION PACKAGE:
Salary range of $75,000-85,000/annually, commensurate with qualifications and experience
