Full Job Description

Are you an organized, tech-savvy licensed real estate professional who loves the industry but wants regular hours and guaranteed baseline pay, comfortable with cold-calling or lead generation?

We are a top-producing real estate team seeking a sharp, detail-oriented Licensed Operations Assistant to manage our central office, oversee our AI-powered CRM, and maintain exceptional communication with our clients. You will serve as the operational anchor of the business—handling database workflows, client milestone updates, and transaction hand-offs to our specialized TC—while earning a reliable hourly base plus a direct financial upside in every transaction we close.

Key Responsibilities

CRM & Database Management: Oversee daily operations in our CRM (Lofty), ensuring incoming leads are properly categorized, AI nurture flows are running smoothly, and high-priority seller appointments are scheduled.
Client & Milestone Updates: Keep active buyers, sellers, and agents informed with clear, weekly status updates throughout every phase of the transaction.
Sphere & Relationship Support: Coordinate personal outreach campaigns, including tracking client milestones (birthdays, home anniversaries), scheduling direct mail drops, and managing social media schedules.
Transaction Coordination Hand-Off: Organize listing files, photos, media assets, and property details into clean packages for seamless delivery to our remote Transaction Coordinator.
Inventory & Field Logistics: Track, order, and manage office physical inventory, including yard signs, riders, Bluetooth lockboxes, and marketing materials.
Weekly Operations Briefing: Prepare a concise Monday morning report covering active escrow timelines, upcoming marketing campaigns, and client contact priorities for the week.

Qualifications & Requirements

Active State Real Estate License (Required)
High level of tech literacy; comfort working with modern CRMs (Lofty/Chime experience is a major plus), database tools, and digital platforms
Outstanding written and verbal communication skills with a strong customer-service mindset
Strong organizational skills with high attention to detail
Punctual, reliable, and available to work 30 hours per week in our local office setting

Schedule & Working Conditions

approx starting Hours: 20-30 hours per week, structured across Monday through Friday (e.g., 9:00 AM – 3:00 PM)
Work Location: In-person at our central office

Hours & pay schedule are negotiable.

Pay: $20.00 - $31.15 per hour
