As our company continues to grow, we are looking for an organized, motivated professional to join our team as a Purchasing & Customer Support Coordinator.

Position Summary

The Purchasing & Customer Support Coordinator plays a key role in supporting both the Purchasing Department and our Piece Parts Repair Shop. This position is responsible for purchasing materials and services, coordinating vendor activities, and managing customer approvals for repair quotations and work orders.

This position serves as a key liaison between customers, vendors, and internal departments to ensure timely purchasing, efficient quote approvals, and the smooth progression of repair work orders. The ideal candidate is highly organized, detail-oriented, communicates professionally, and thrives in a fast-paced environment.

Essential Duties & ResponsibilitiesPurchasing Responsibilities

Create and process purchase orders.
Source materials, tooling, supplies, and outside services.
Obtain competitive quotations from approved vendors.
Monitor purchase orders and delivery schedules.
Follow up with suppliers regarding late shipments, shortages, and backorders.
Maintain vendor relationships and supplier communication.
Verify pricing, quantities, and delivery commitments.
Coordinate with Shipping & Receiving to resolve purchasing discrepancies.
Assist with inventory replenishment and material availability.
Maintain accurate purchasing records and documentation.
Support Accounting by resolving invoice discrepancies.

Customer Support Responsibilities

Manage customer approvals for repair quotations generated by the Piece Parts Repair Shop.
Contact customers regarding quoted work orders requiring approval.
Follow up on outstanding quotations to minimize turnaround time.
Update the ERP system with customer approval status.
Coordinate approved work orders with Production Planning.
Maintain accurate records of customer communications.
Provide professional customer service via phone and email.
Assist customers with questions regarding quotations and repair approvals.
Help ensure repair work orders progress efficiently through the repair process.

Administrative Responsibilities

Maintain organized electronic and physical records.
Prepare reports and spreadsheets as requested.
Support multiple departments with administrative tasks.
Perform additional duties as assigned.

Qualifications Required

High school diploma or equivalent.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Proficiency in Microsoft Excel, Outlook, and Word.
Strong attention to detail.
Ability to prioritize multiple projects and meet deadlines.
Professional phone and email etiquette.
Positive attitude and willingness to learn.

Preferred

Experience in purchasing, procurement, customer service, production support, or administrative coordination.
Experience in aviation, aerospace, manufacturing, or an MRO environment is a plus.
Experience working with ERP systems (Smart145 experience is a plus).
Experience managing quotations, work orders, or customer approvals.
Knowledge of inventory control and purchasing processes.
