Job Description for Sales Coordinator

Reports To: Sales Executives and Senior Sales Coordinator

Position Purpose:

Provide support to Sales Executive in the production of competitive, creative and accurate proposals, contracts, client support and service.

Performance Expectations:

Produce all proposals and contracts within the assigned time frames.
Gather quotes and information to accurately price all proposals and contracts.
Produce proposals that reflect what the client and Sales Executive have requested.
Creatively package all proposals.
Book and release holds for venues, activities, and entertainers for all proposals within assigned time frames.
Generate accurate contracts.
Generate accurate and timely deposit invoices.
Provide timely accurate responses to client’s needs and requests when Sales Executive is unavailable.
Keep Sales Executive current with all deadlines for follow-up and review

Essential Duties and Responsibilities:

Update Sales Projections and Book with up-to-date proposals and contracts.
Coordinate itineraries and set up site inspections and hotel visits for Sales Managers.
Obtain accurate quotes and propose with the appropriate markup.
Research new venues and provide assessment.
Provide alternative venues to meet client requirements when requested venue is not available.
Develop creative descriptions for client’s requests.
Email proposals and follow-up with a phone call to ensure receipt when Sales Manager is unable to do so.
Actively pursue knowledge and experience in all service areas: tours, venues, restaurants, decor, etc.
Attend and assist set ups and events as requested.
Inform Sales Executive immediately (same day but not later than 24 hours) of delays or problems in developing proposals.
Accurately and clearly communicate with the Sales Executive on all proposals, contracts, and client matters.
Communicate thoroughly and effectively amongst team members to ensure all are aware of client needs and/or pending items so all requests are completed in a timely manner
Manage proposals, presentations and vendor sourcing
Perform all other job duties related to sales

Qualifications and Education Requirements:

Bachelor's degree or higher preferred/required
1-2 years of hospitality or event experience
Proficient in Microsoft Office Suite: Word, Excel, PowerPoint and Outlook
Strong customer service and interpersonal skills
Works well independently and with a team
Must be efficient, organized, detail oriented and driven with the ability to multitask
Self-starter, process driven, with strong problem-solving skills
Operates with a sense of urgency and drives project timelines to completion for both external client and internal team members
Excellent written, spelling and verbal communication skills
Ability to work overtime
