About the Role

We are seeking a hands-on, customer-focused Facilities Associate to support day-to-day operations at a client site in the Boston Metro area. This role sits at the intersection of hospitality and facilities management — you'll be the friendly face greeting employees and visitors at the front desk, the go-to person ensuring meetings and office events run smoothly, and the behind-the-scenes support keeping the workplace stocked, functional, and well-maintained. You'll also serve as a key point of contact for third-party vendors and suppliers who support site operations.

This is an ideal role for someone who thrives in a fast-paced, people-first environment and takes pride in delivering a five-star workplace experience while staying comfortable rolling up their sleeves for hands-on facilities tasks.

Key Responsibilities

Customer Service & Front Desk Coverage

Serve as the first point of contact for employees, visitors, and guests at the front desk/reception area
Greet and check in visitors, issue badges, and ensure a professional, welcoming experience
Answer phones, respond to workplace inquiries, and direct requests to the appropriate teams
Maintain a polished, professional presence representing both the client and the IFM team

Office Event & Meeting Support

Provide hands-on support for internal meetings and office events, including room setup/breakdown, A/V assistance, and catering coordination
Partner with employees and event organizers to ensure meeting spaces are ready, stocked, and functioning properly
Troubleshoot basic technology or room issues during events and escalate as needed

Maintenance & Workplace Support

Perform daily rounds of break rooms, pantries, and common areas; restock snacks, beverages, and supplies
Monitor the general condition of the workplace and report maintenance issues or repair needs
Support light facilities tasks such as furniture adjustments, signage placement, and supply organization
Ensure conference rooms, common areas, and workstations are clean, organized, and presentable

Vendor & Supplier Coordination

Serve as an on-site liaison for third-party vendors and suppliers (janitorial, catering, maintenance, security, etc.)
Coordinate vendor access, schedules, and deliveries in line with site protocols
Monitor vendor performance and communicate service issues to the Facilities Manager
Support vendor check-in/check-out processes and maintain accurate service logs

What We're Looking For

1–3+ years of experience in facilities, hospitality, front desk/reception, office administration, or customer service
A hands-on, "no task too small" attitude with a willingness to pitch in wherever needed
Strong interpersonal and communication skills; comfortable interacting with employees, visitors, and vendors alike
Ability to multi-task and prioritize in a dynamic, fast-paced office environment
Basic understanding of workplace operations, building systems, or vendor management is a plus
Proficiency with Microsoft Office (Outlook, Teams, Excel) and comfort learning facilities/ticketing software
Reliable, punctual, and professional demeanor
Ability to stand, walk, and lift light items (up to 25 lbs) as needed throughout the day

Preferred Qualifications

High school diploma or equivalent required; Associate's or Bachelor's degree a plus
Prior experience supporting a corporate office, IFM provider, or client-facing facilities role
Experience coordinating with third-party vendors/suppliers
