Full Job Description

Business Manager – Administrative & Financial OperationsOverview

A privately owned professional-services business is seeking an experienced, organized, and highly accountable Business Manager to oversee daily administrative and financial operations.

This position will work closely with the owner to ensure bills, payments, employee records, vendor accounts, customer balances, office procedures, and operational deadlines are properly managed and followed through to completion.

The ideal candidate is dependable, detail-oriented, professional, financially responsible, and comfortable holding employees accountable. This is a hands-on management position for someone who can identify problems, create organized systems, communicate clearly, and ensure that important responsibilities do not fall behind.

Because this position involves confidential customer, employee, and financial information, discretion and professionalism are required.

Primary Responsibilities

Manage the daily administrative and financial operations of the business.
Maintain an organized system for bills, due dates, vendor payments, account balances, and financial deadlines.
Monitor customer accounts, outstanding balances, payment arrangements, and collection follow-up.
Prepare organized financial information and reports for the owner, accountant, bookkeeper, and other authorized professionals.
Assist with payroll preparation, employee time records, compensation records, and required employment documentation.
Review bank activity, business expenses, invoices, receipts, and payment records for accuracy.
Maintain accurate vendor, insurance, vehicle, license, contract, and business records.
Coordinate with vendors and service providers regarding orders, invoices, balances, and account issues.
Oversee office procedures, employee checklists, deadlines, and administrative workflows.
Follow up with employees to ensure assigned tasks are completed accurately and on time.
Assist with hiring paperwork, onboarding, policy acknowledgments, and employee record maintenance.
Monitor office supplies and operational needs while ensuring purchases receive proper approval.
Help establish and maintain written procedures, tracking systems, and performance standards.
Identify operational problems and recommend practical solutions to the owner.
Provide the owner with regular updates regarding finances, outstanding tasks, employee performance, and urgent concerns.
Maintain strict confidentiality regarding customers, employees, finances, and business operations.
Perform other administrative and operational duties assigned by ownership.

Required Qualifications

Previous experience in business management, office management, bookkeeping, financial administration, or a similar leadership position.
Strong understanding of bills, invoicing, payment tracking, accounts receivable, payroll records, and basic financial reporting.
Experience supervising employees or holding team members accountable for deadlines and performance.
Excellent organizational and follow-through skills.
Strong written and verbal communication skills.
Ability to communicate professionally with customers, employees, vendors, and outside professionals.
Proficiency with Microsoft Excel, Google Sheets, email, and general office software.
Ability to manage multiple priorities without losing track of deadlines or important details.
Sound judgment and the ability to handle confidential information appropriately.
Ability to work independently while following the direction and approval requirements of ownership.

Preferred Qualifications

Experience working in a small, privately owned business.
Experience coordinating with accountants, payroll providers, insurance companies, or financial professionals.
Experience developing office systems, checklists, reports, and operating procedures.
Experience in a professional-services, healthcare, legal, financial, hospitality, or other confidential client-service environment.

Position Expectations

The Business Manager will be expected to maintain a high level of accuracy, professionalism, confidentiality, responsiveness, and accountability. All written communication must be clear and grammatically correct.

This position requires consistent follow-through. Problems, missed deadlines, financial concerns, employee issues, and incomplete tasks must be reported promptly to ownership and may not be ignored or allowed to remain unresolved.

This is an in-office position located in the Cambridge, Maryland area.

Pay: From $50,000.00 per year
