Position Summary
Dothan Montessori School is seeking a highly organized, financially skilled, and detail-oriented professional to serve as our Assistant Director. This leadership position works in close partnership with the School Director to ensure the school's financial health, operational excellence, regulatory compliance, and administrative efficiency.
The ideal candidate combines strong business and accounting expertise with exceptional organizational skills and a proactive approach to compliance and educational administration. This individual will develop and maintain systems that support the school's mission while ensuring accurate financial management, student record integrity, and readiness for licensure and accreditation.
Key Responsibilities
Financial Management
- Manage the school's financial systems, records, and internal controls.
- Prepare and monitor annual budgets in collaboration with the School Director.
- Track revenue, tuition payments, accounts payable, and accounts receivable.
- Produce monthly financial reports and cash flow projections.
- Coordinate with the school's CPA, payroll provider, and financial institutions.
- Develop and improve financial procedures and documentation to support sustainable growth.
Compliance & Risk Management
- Maintain compliance with all applicable state, local, and federal regulations.
- Monitor deadlines and documentation required for regulatory compliance.
- Develop systems to ensure ongoing operational compliance.
- Maintain organized records for audits and regulatory reviews.
- Assist with policy development and implementation.
Licensure & Accreditation Support
- Coordinate documentation required for state licensure.
- Organize and maintain records supporting accreditation standards.
- Assist in preparing reports, evidence, and documentation for accreditation reviews.
- Track compliance with accreditation requirements and continuous improvement initiatives.
Academic Records Administration
- Maintain accurate and confidential student academic records.
- Ensure proper enrollment documentation and cumulative files.
- Support reporting requirements related to student records.
- Develop efficient record-keeping systems that meet legal and accreditation standards.
Administrative Leadership
- Serve as a strategic partner to the School Director on operational and organizational matters.
- Recommend improvements to administrative systems and business processes.
- Assist with long-term planning and organizational development.
- Support human resources administration, contracts, and personnel documentation as needed.
- Foster a culture of professionalism, accountability, and continuous improvement.
Qualifications
Required
- Minimum of five years of experience in financial management, accounting, business operations, or compliance.
- Strong understanding of budgeting, financial reporting, and internal controls.
- Exceptional organizational and project management skills.
- High level of integrity and discretion in handling confidential information.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and financial/accounting software.
Strongly Preferred
- Bachelor's degree in Business, Accounting, Finance, Business Administration, or a related field.
Preferred
- Experience working in an independent school, nonprofit organization, or educational setting.
- Knowledge of school licensure, accreditation, or educational compliance.
- Experience with student information systems or academic record management.
- Familiarity with Montessori education or a willingness to learn Montessori philosophy and practices.
