Overview

We are seeking a dynamic and highly organized Personal Assistant to provide exceptional administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and facilitating effective communication across departments. The ideal candidate will thrive in a fast-paced environment, demonstrating proactive problem-solving skills, technical proficiency, and a keen eye for detail. Duties

Manage and coordinate complex calendars, scheduling meetings, appointments, and business travel arrangements with precision using tools like Microsoft Outlook Calendar and Google Workspace.
Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings with accuracy.
Organize and facilitate events such as meetings, conferences, and company functions, ensuring all logistics are handled seamlessly.
Handle internal communication efficiently across teams and departments via email, video conferencing software, and multi-line phone systems while maintaining professional phone etiquette.
Maintain confidentiality by managing sensitive information related to business operations and personnel with discretion.
Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and managing office supplies inventory.
Coordinate project activities by collaborating with C-suite executives and team members to ensure deadlines are met and objectives are achieved.

Requirements

Proven experience as a Personal Assistant or in an executive administrative support role with strong organizational skills.
Proficiency in productivity software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and Docusign for document signing.
Excellent typing speed along with strong writing skills for correspondence and report drafting.
Experience with event planning, project coordination, bookkeeping (QuickBooks), and office management is highly desirable.
Ability to handle multiple tasks efficiently while maintaining attention to detail under tight deadlines.
Strong communication skills with professional phone etiquette and the ability to manage internal communication effectively.
Technical proficiency in video conferencing software (such as Zoom or Microsoft Teams), data entry systems, and multi-line phone systems.
Demonstrated ability to manage calendars for multiple executives while coordinating business travel arrangements.
Prior experience working as an executive assistant or in a similar administrative capacity is preferred.
