About Us

Exceed Equine is a growing organization that combines equine operations, media production, and technology to build something entirely new. Through our flagship platform, we're creating an interactive entertainment experience that connects audiences with authentic stories, live content, and the daily operations of our equine facility.

As our organization continues to grow, we're looking for an Executive Assistant to support our Director of Operations by helping keep projects organized, priorities aligned, and day-to-day operations running efficiently. This is an opportunity to become an integral member of a collaborative team and contribute to a fast-paced company where no two days are the same.

About the Role

This is a fast-paced position supporting the Director of Operations across a wide range of administrative, organizational, and operational responsibilities.

The Executive Assistant will play an important role in helping keep projects organized, priorities on track, and day-to-day operations running efficiently. This individual will assist with scheduling, communications, documentation, hiring coordination, project follow-up, and a variety of administrative tasks that support the Operations Director and the organization as a whole.

This role requires someone who is highly organized, proactive, adaptable, and comfortable managing multiple priorities in a fast-paced environment. The ideal candidate enjoys supporting others, solving problems, and ensuring important details never fall through the cracks.

Primary Responsibilities

Provide daily administrative support to the Director of Operations.
Manage calendars, schedules, meetings, and daily priorities.
Draft emails, meeting agendas, notes, reports, and internal communications.
Track projects, action items, deadlines, and follow-up tasks.
Assist with recruiting, interviewing, onboarding, and employee documentation.
Coordinate communication with employees, vendors, contractors, and outside partners.
Maintain organized company records, documentation, and operational files.
Assist with payroll preparation, attendance tracking, PTO records, and general HR administration.
Support administrative tasks related to insurance, legal documents, vendor records, and other operational needs.
Help coordinate multiple projects simultaneously while ensuring deadlines and priorities remain organized.
Provide general operational and administrative support for new initiatives and other responsibilities as assigned by the Director of Operations.

Qualifications

Required

Excellent organizational and time management skills.
Strong written and verbal communication skills.
Strong computer skills and the ability to quickly learn new software and technology platforms.
Ability to manage multiple priorities while maintaining exceptional attention to detail.
