Job Title: Scheduling Coordinator – Oral Surgery Office

Location: Westmont, IL and Elmwood Park, IL

Job Type: Full-Time

Schedule: Monday–Friday, 8:00 AM–4:30 PM (occasional weekends may be required)

At Oral Surgery Solutions, we are a leading oral surgery practice dedicated to providing exceptional patient care in a fast-paced and supportive environment. Our team is passionate about delivering compassionate and professional service, and we’re looking for a motivated Scheduling Coordinator to join us.

Position Overview:

We are seeking an organized, friendly team player who thrives in a busy environment and can multitask effectively. As a Scheduling Coordinator, you will help manage patient flow, assist with insurance verification, schedule appointments, and support overall office operations. If you are detail-oriented, adaptable, and committed to providing excellent patient experiences, we encourage you to apply!

Key Responsibilities:

Scheduling: Coordinate consultations, surgeries, and follow-up appointments for patients and referring offices.
Insurance Coordination: Verify insurance benefits, submit pre-authorizations, and support claim submissions.
Payment Handling: Collect payments (co-pays, outstanding balances) and process transactions accurately.
Phone Management: Handle high-volume incoming calls and respond to patient and referring office inquiries professionally.
Patient Records: Maintain accurate and up-to-date patient information; follow up on authorizations and clearances.
Medical Clearances: Communicate with patients and medical offices to obtain necessary pre-surgical clearances.
Cross-Office Communication: Collaborate with other dental and medical offices to coordinate patient care.

Qualifications:

Previous experience in a dental or medical office is preferred but not required — we are willing to train the right candidate!
Strong organizational and time management skills.
Desire and ability to learn new skills.
Excellent customer service skills with a friendly and professional demeanor.
Familiarity with platforms such as Weave, Denticon, and Google Docs is a plus, but not required.
Willingness to work occasional weekends.
Ability to handle high call volumes and manage multiple tasks in a fast-paced setting.
Knowledge of insurance processes (verification, pre-authorizations, claims) is helpful.
HIPAA compliance and strong attention to detail.
Bilingual abilities (Spanish or another language) are a plus.
