Full Job Description

Position Summary

The Accounts Payable Coordinator is responsible for managing the full cycle of accounts payable activities, ensuring timely and accurate processing of invoices, payments, and financial records. This role requires strong attention to detail, organizational skills, and experience working within ERP systems.

This position works closely with Purchasing, Customer Service, and Management to ensure accurate invoice processing, timely issue resolution, and alignment between procurement, vendor transactions, and financial reporting.

Key Responsibilities

· Review, verify, and process accounts payable invoices after proper approvals and purchase order (PO) matching

· Execute weekly payment runs via checks, ACH, and wire transfers

· Coordinate vendor setup, documentation, and invoice authorization

· Assign appropriate general ledger (GL) accounts to expenses

· Partner with Purchasing to resolve PO discrepancies, pricing issues, and vendor-related concerns

· Partner with Purchasing and Management to identify capital expenditures and ensure proper classification between expense vs. capital items

· Collaborate with Customer Service to address order discrepancies, returns, or vendor claims impacting invoices

· Communicate with Management regarding payment approvals, cash flow considerations, and exception handling

· Reconcile vendor invoices with purchase orders and resolve discrepancies

· Ensure proper capitalization of assets in accordance with company policies and accounting standards

· Reconcile accounts payable transactions with bank statements

· Prepare, reconcile, and make bank deposits, ensuring all receipts are accurately recorded and applied in the accounting system in a timely manner

· Perform monthly accruals and support month-end close

· Prepare reports for management and external accountants

· Collect and maintain vendor W-9 forms

· Process insurance payments and maintain records

· Assist with audits and special projects

Systems & Technical Requirements

· Experience with ERP systems

· Understanding of AP workflows within ERP environments

· Proficiency in Microsoft Excel and Office tools

Position Requirements

· 2–3 years of accounts payable or accounting experience

· Manufacturing or inventory experience is a plus

· Understanding of accounting principles

Skills & Competencies

· Strong attention to detail and organization

· Ability to work independently and in a team

· Analytical and problem-solving skills

· Effective time management and prioritization

· Proactive mindset for process improvement

· Strong communication skills
