Service Order Specialist, Rossmoor, Walnut Creek
About Rossmoor, Walnut Creek

Rossmoor Walnut Creek is a nationally recognized community for active seniors who are 55 and older. With nearly 10,000 residents in 6,700 homes on 2,000 acres, Rossmoor is a beautiful, serene enclave about 25 miles east of San Francisco. Offering a vast array of activities, residents are inspired to create, enjoy, learn and participate in activities and sports that they never had time to learn or engage in when they were younger. With two golf courses, four swimming pools, tennis, pickleball, lawn bowling and numerous other activities, it is never dull in Rossmoor. Activity studios include dedicated facilities for art, ceramics, lapidary, sewing, and woodworking. Rossmoor also operates its own movie theater, TV station and weekly newspaper. There are more than 200 clubs in Rossmoor for every interest.

Service Order Specialist

Rossmoor Walnut Creek has an immediate opening for a Service Order Specialist to join our team. Qualified candidates will work in the lovely gated residential community of Rossmoor.

This position answers resident phone calls and emails to resolve maintenance, landscaping and pest control issues; creates associated work orders; performs data entry using CRM and/or ERP systems to maintain records, notes & billing; schedules and dispatches technicians and contractors to perform work. This is a full-time (40/hrs week) benefits eligible position including medical, dental and vision coverage, paid holidays, vacation and sick leave accrual and 401(k) with match.

We are looking for an energetic self-starter for our fast-paced call center in the Business Operations department, someone with talent and drive to deliver top-notch service to our customers over the phone and in person. You should be tolerant, patient and enjoy helping people. The position is in a close-knit team environment, requires a sense of humor, and has broad growth potential.

Duties and Responsibilities:

Typical job duties include and are not limited to:

Answers calls/email, using CRM or ERP system experience to resolve maintenance, landscaping and pest control issues for residents.
Creates, manages, tracks and closes service orders in accordance with established policies of relevant property management operational practices;
Schedules technicians and vendors for maintenance/repair work, revising priorities as required;
Maintains current knowledge of RPM (Rossmoor Property Management) requirements for billing, work preparation, approvals, etc., obtaining authorizations as required;
Close service orders, including appropriate billing, database updating, etc.;
Completes assigned shared responsibility (including and not limited to, such things as filing, processing invoices and/or payments, processing building permits, scanning, special mailings, special projects);
And other duties as required falling within the purview of the manager.

Requirements:

High School graduation, GED or equivalent, some college a plus;
High levels of proficiency in MS Office (Word, Excel, Outlook, Outlook Calendar management);
Demonstrated ability in CRM and /or ERP systems, NetSuite a plus;
Demonstrable high skill levels in customer service, priority and time management;
Demonstrable excellence in teamwork and collaboration;
Active listening, excellent written and verbal communications;
Flexible and adaptable, in a fast-paced work environment.
Minimum three years’ customer service experience, preferably in a call–center environment.

Additional Requirements:

§ Clean and valid California driver license and satisfactory driving record are conditions of initial employment.

§ Ability to meet the Dept. of Homeland Security requirements confirming identity and right to work in the United States is required.

§ Offer is contingent upon satisfactorily passing pre-employment background check and drug test.

§ Previous employment must be verifiable.
