Full Job Description

POSITION SUMMARY: With conscious intent to further the mission and goals of the Sinsinawa Dominican Congregation, the Transportation Coordinator works primarily with fleet management, driver records and insurance, as liaison to the Christian Brothers Services (CBS) driver assessor, and other areas associated with the Sinsinawa drivers and fleet. The Transportation Coordinator shows initiative and works collaboratively with GFO personnel, co-workers, Dominican Sisters, and professional associates in managing and processing transactions in areas of responsibility.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Keep CFO informed of relevant activity pertaining to responsibilities in this area.
Coordinate process for AAA memberships for Sister drivers
Provide oversight of Uber accounts
Track driver accidents to keep records current
Manage communication plan with Council Delegates and Local Prioresses regarding driver issues, and notate follow-up information
Coordinate and manage fleet vehicles
Local Mound vehicle upkeep including oversite of maintenance, cleaning (on a regular schedule for detailing) and repairs of vehicles not overseen by grounds, systems and maintenance departments or individual sisters;
Sign outs of fleet cars for professional and sisters’ use;
Off campus vehicles – liaison for issues concerning fleet;
Coordinate maintenance with auto service providers;
Coordinate vehicle rotation and purchases with Senior Accountant, with support from CFO;
Resource for local Transportation Coordinator at Stair Crest.
License and title vehicles, update the insurance company re: additions/deletions; distributing insurance information; garaging updates; renewal of license stickers; maintenance of vehicle and driving records; mailings as needed.
Coordinate with Senior Accountant and CFO on vehicular accidents.
Coordinate with Administrative Assistant, Sister Support, and Senior Accountant on driving violations, so each can fulfill his/her role.
Be available to take phone calls after hours in case of emergency situations.
Coordinate defensive driving opportunities and driver assessments with Christian Brothers Services (CBS).
Maintain motor vehicle records MVR reports on drivers of fleet vehicles.

Required Qualifications:

Competence in the use of Microsoft Office365 and Outlook and a willingness to attend training sessions to enhance knowledge and proficiency in the use of programs that will be used regularly, e.g. Email, Excel and Word.
Valid Driver’s License
No MVR record violations
Ability for professional self-expression on both phone and through emails.
Initiative and ability to work independently as well as collaboratively with others, as needed.
Excellent written and oral communication skills along with the ability to present and explain information to various constituencies.
Self starter who is able to determine timing of reports, scheduling of driver assessments, etc.
Ability to complete high quality, accurate work output by predetermined deadlines.

Preferred Qualifications

Minimum of 2 years’ experience with vehicles and/or drivers.
Experience with senior drivers
Previous experience in a not-for-profit business or religious organization

Skills commensurate with fleet management and driver safety.
Excellent driving record.
A highly confidential and demonstrated ability to handle situations professionally with great sensitivity.
Ability to gain confidence and respect of others through expertise, accuracy, and communication with persons having various levels of understanding.
Willingness to perform any other appropriate tasks not yet assigned.

Pay: $21.50 - $23.00 per hour
