Full Job Description

Position Summary

The Office Assistant provides exceptional patient care while supporting the doctors and office team with clinical, optical, administrative, and customer service duties. This role requires strong communication skills, attention to detail, and professionalism in a fast-paced optometry practice which may include welcoming patients from check-in through checkout, verifying insurance, assisting with exams and testing, and supporting optical sales and dispensing.

Essential Duties and ResponsibilitiesPatient Communication & Front Desk

Greet and assist patients — scheduled, walk-in, and impromptu — with courteous, professional communication in person and by phone.
Promptly respond to patient messages, calls, and referring-physician communications.
Schedule and confirm appointments per office guidelines.
Maintain patient confidentiality and follow office policies and procedures.
Provide general administrative support and assist at the front desk (check-in, check-out, phones) as needed.

Insurance & Billing

Verify patient vision insurance eligibility and benefits prior to appointments, documenting findings through insurance portals.
Obtain required authorizations and submit claims accurately and on time.
Calculate and clearly communicate patient co-pays, deductibles, and other costs.

Optical Services

Interpret prescriptions and recommend frames, lenses, materials, and treatments based on the patient's needs and preferences.
Assist patients in selecting frames and process spectacle orders accurately.
Verify completed eyewear against the prescription, notify patients when ready, and dispense with proper instruction.
Perform frame adjustments and minor repairs.

Clinical Testing & Patient Work-ups

Perform patient work-ups, documenting medical/ocular history, allergies, and medications.
Perform diagnostic testing as directed, including visual acuity, lensometry, refraction, visual field testing, OCT imaging, and other assigned testing.
Accurately document results and promptly flag abnormal findings to the doctor.

Contact Lens Services

Order contact lenses per the doctor's prescription and office procedures.
Teach proper insertion and removal, and educate patients on lens care, handling, and wear schedules.
Assist with contact lens follow-up as directed by the doctor.

Exam & Procedure Support

Prepare exam rooms and equipment, and assist doctors with exams and procedures.
Communicate relevant patient information and test results to the doctor.
Refill prescriptions as authorized and per office policy.
Maintain clean, organized, and properly stocked exam rooms and equipment.

Teamwork

Work collaboratively across clinical, optical, and administrative teams to ensure efficient patient flow.
Perform other duties as assigned.

Physical & Work Requirements

Ability to stand, walk, sit, and move throughout the office for extended periods.
Ability to use computers and clinical/office equipment, and to handle eyewear and optical products safely.
Ability to maintain a professional, patient-focused demeanor throughout the workday.
