Job Title: Accounting and Human Resources Coordinater

Job Summary: The Accounting and Human Resources Coordinator is responsible for supporting the organization’s finance and human resources; ensuring implementation of policies and procedures, that lead to sound financial management and optimal employee relations.

Reports to: President/CEO

Classification: Non-Exempt

Hourly Range: $26.15 (Median) to $31.40 (Maximum)

Job Location: Duluth, MN

Essential Functions:

1. Cultivate positive relations with program participants, agency and community partners, volunteers, donors, staff and other constituents upholding our organization’s commitment to treating all with fairness, dignity and respect.

2. Keep up to date on industry trends, have working knowledge of the Feeding America Partner Food Bank Agreement requirements, information contained on HungerNet, and the Learning Hub, as it relates to the Accounting and Human Resources Assistant position.

3. Serve as the organization’s internal contact and liaison to the third-party contracted financial firm, supporting the implementation of financial policies, procedures, compliance and auditing/financial reviews including timely and accurate tracking, documentation, and reporting.

4. Ensure accurate and timely processing of accounts payable in coordination with established policies, procedures, internal controls and generally accepted accounting principles (GAAP).

5. Ensure accurate and timely processing, recording and collection of accounts receivable in coordination with established policies, procedures, internal controls, and generally accepted accounting principles (GAAP).

6. Support the organization’s management of grants, tracking expenses, preparing and submitting reimbursement requests and reports in alignment with grant requirements and deadlines.

7. Ensure accurate and timely reconciliation of bank, credit card and petty cash accounts supporting monthly and year-end close procedures.

8. Support the organization’s management of bank and investment accounts, loans, lines of credit, wire transfers, electronic funds transfers (EFT), Automated Clearing House (ACH) transactions, and signature authorizations.

9. Support the organization’s management, acquisition, inventory, and disposal of fixed assets.

10. Support the organization’s supply purchasing ensuring lowest pricing/best quality and maintaining vendor services.

11. Cultivate a positive internal communication environment and promote effective communication to ensure staff are informed about financial and human resources initiatives.

12. Ensure the organization’s financial and human resources records are confidentially and securely maintained.

13. Serve as an administrator of the organization’s financial and human resources technology platforms, supporting implementation, maintenance, training, utilization, security and reporting.

Human Resources

14. Serve as the organization’s internal contact for employee referral to their supervisor and/or the organization’s third-party contracted human resources firm to ensure optimal employee relations and clarification of human resources policies and procedures.

15. Support the organization’s employee recruitment including the implementation of job postings, candidate communications and interview scheduling.

16. Serve as the organization’s internal contact for employee onboarding and offboarding including proper and accurate documentation, enrollment and termination in the third-party contracted human resources firm’s payroll and benefits systems.

17. Serve as the organization’s internal contact and oversight for employee payroll processing by the third-party contracted human resources firm including accurate timekeeping, compensation, expense reimbursement, benefit and leave deductions.

18. Support the organization and third-party contracted human resources firm’s implementation of human resources policies, procedures and compliance including employee compensation, benefits and status changes; required postings, tracking, documentation, and reporting.

19. Support the organization’s employee training, development, recognition and engagement activities.

20. Other duties as assigned by the Consulting CFO and/or President/CEO.

Qualifications Required:

Associate’s degree in accounting or equivalent experience/education (a minimum of two years)
Interest in hunger issue or related social services
High level of analytical, data interpretation, and problem-solving skills
Strong communication and interpersonal skills
Strong organization skills and an attention to detail
Ability to manage multiple priorities and deadlines
Ability to work independently, exercising initiative and sound judgment
Ability to work as a team with various staff members
Computer proficiency including experience with Microsoft 365
Possess and maintain a valid driver’s license and reliable transportation (position may require local travel)

Qualifications Preferred:

Knowledge of, or experience in, the finance/accounting industry
Knowledge of, or experience in, human resources
