Full Job Description

Our client is seeking an experienced, organized, and driven Administrative Operations Manager to oversee the financial, administrative, and operational functions of a growing service company. This leadership role is ideal for someone who thrives in a fast-paced environment and enjoys wearing multiple hats while supporting both the office and field operations.

This position serves as a trusted partner to the General Manager and is responsible for accounting, payroll, human resources, benefits administration, fleet management, business insurance coordination, and day-to-day office operations. The successful candidate will help build efficient processes, maintain financial accuracy, and ensure the business continues to operate smoothly while supporting long-term growth.

Salary:

$60,000–$100,000 annually DOE

Schedule:

Monday–Friday
8:00 AM – 5:00 PM
Limited rotating on-call schedule
Winter: Regular office on-call rotation
Summer: Monitor voicemail and email for emergency situations only

Position Overview

As the Administrative Operations Manager, you will oversee the company’s accounting and financial processes while providing administrative leadership across multiple departments. This role requires a highly organized professional capable of balancing financial responsibilities with HR, employee benefits, vendor relationships, fleet administration, insurance coordination, and executive support.

You will work closely with the General Manager to improve business operations, support strategic planning, and ensure exceptional internal and external customer service.

Key Responsibilities

Accounting & Finance

Oversee Accounts Payable, Accounts Receivable, payroll, and general ledger activities
Manage bookkeeping using QuickBooks Online
Process bi-weekly payroll and payroll reporting
Complete bank reconciliations and month-end close
Prepare monthly financial statements and management reports
Assist with budgeting, forecasting, and financial analysis
Coordinate with external accountants and auditors
Review expenses and maintain accurate financial records

Operations Administration

Manage company vehicles, registrations, maintenance tracking, and insurance claims
Assist with business insurance renewals, audits, and Certificates of Insurance
Coordinate purchasing, vendor relationships, and office administration
Maintain operational reporting and company records
Support inventory and purchasing processes

Human Resources & Benefits

Coordinate onboarding for new employees
Administer employee benefits and eligibility
Assist with recruiting and hiring support
Maintain employee records and HR documentation
Coordinate payroll, PTO tracking, and benefit enrollments

Customer & Administrative Support

Provide exceptional customer service when assisting customers by phone or in person
Assist with financing paperwork and customer payment arrangements
Prepare reports, proposals, spreadsheets, and business documents
Support department managers and company leadership with special projects

Qualifications

3–5 years of accounting, operations, or office management experience
Accounting degree preferred but not required
HVAC, construction, or skilled trades industry experience is a plus
Strong understanding of:
Accounts Payable
Accounts Receivable
Payroll
Financial reporting
General bookkeeping
Experience with QuickBooks Online required
Proficient in Microsoft Excel, Word, and business software
Strong organizational and project management skills
Excellent communication and leadership abilities
Ability to maintain confidentiality while handling sensitive financial and employee information
Self-motivated with exceptional attention to detail and problem-solving skills
