Job Summary

We are seeking a dynamic and highly organized Office Coordinator to join our team! In this vital role, you will oversee daily office operations, coordinate administrative tasks, and ensure a smooth and efficient work environment. Your proactive approach and exceptional organizational skills will support our team’s productivity, enhance client communication, and maintain a professional office atmosphere. This position offers an exciting opportunity to contribute to a thriving organization while developing your skills in office management, vendor relations, and team coordination.

Duties

Manage calendar scheduling, appointment setting, and meeting coordination to optimize team productivity
Oversee vendor management by coordinating service providers, supplies, and equipment maintenance
Handle bookkeeping and accounting tasks using accounting software such as QuickBooks; maintain accurate financial records
Support human resources functions including onboarding, training, employee records management, and payroll processing
Organize and facilitate event planning for meetings, company functions, and community outreach initiatives
Maintain filing systems, manage confidential information with discretion, and ensure compliance with organizational policies
Provide excellent customer service by addressing client inquiries via phone or email with professionalism and clarity

Skills

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheets for data organization and reporting
Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and budgeting is a plus
Strong communication skills—both verbal and written—with the ability to handle client communication effectively
Demonstrated ability to supervise or lead teams; experience in training & development is advantageous
Exceptional organizational skills with keen attention to detail in scheduling, filing, and record keeping
Ability to manage multiple priorities efficiently while maintaining professionalism under pressure
Knowledge of medical office management or healthcare environment is desirable but not required
