Full Job Description

Location: Duluth, MN (with regular travel to support all OA locations)

Reports To: CEO

Employment Type: Full-Time, Exempt

Compensation Range: $97,000 – $140,000, based on experience

Position Summary

The Human Resources Manager leads all human resources functions for Orthopaedic Associates of Duluth, a physician-owned orthopaedic specialty practice with multiple locations across northern Minnesota. This role is responsible for talent acquisition, employee relations, benefits and compensation administration, performance management, HR compliance, and policy development, supporting a workforce that includes physicians, advanced practice providers, clinical staff, therapy staff, and administrative personnel.

The HR Manager partners closely with practice leadership and department managers across the organization on hiring, performance management, and corrective action, ensuring consistent application of practice policy across all departments. This role also supports OAD's growth initiatives, including staff integration and HR due diligence related to practice acquisitions, and helps the organization build and maintain an engaged, well-supported workforce across all OAD sites.

Key Responsibilities

Talent Acquisition & Onboarding

Manage full-cycle recruiting for clinical, administrative, and support staff positions across all OAD locations.
Coordinate provider recruitment logistics in partnership with practice leadership and physician recruiters.
Develop and maintain a structured onboarding process, including orientation, credentialing coordination, and new-hire documentation.

Employee Relations

Serve as the primary point of contact for employee concerns, workplace conflicts, and disciplinary matters.
Conduct and document investigations into employee complaints, ensuring fair and consistent resolution.
Advise managers on performance issues, corrective action, and termination processes in accordance with practice policy and applicable law.

Compensation & Benefits Administration

Administer employee benefits programs, including health insurance, retirement plans, and paid time off.
Support annual benefits renewal and open enrollment processes.
Maintain compensation structures and assist leadership with salary benchmarking and pay equity reviews.

Compliance & Policy

Ensure HR policies and practices comply with federal, state, and local employment law (FMLA, ADA, FLSA, OSHA, and Minnesota-specific requirements).
Maintain and update the employee handbook and HR policy manual.
Oversee required employment postings, recordkeeping, and reporting across all sites.
Maintain compliance with HIPAA requirements as they relate to employee health information.

Performance Management & Development

Administer the practice's performance review process and support managers in setting goals and delivering feedback.
Identify training needs and coordinate staff development, compliance training, and continuing education tracking.
Support succession planning for key administrative and clinical leadership roles.

HR Operations

Maintain accurate personnel records and HRIS data across all locations.
Prepare HR metrics and reporting for practice leadership (turnover, staffing levels, time-to-fill, etc.).
Manage workers' compensation claims and leave-of-absence administration.
Support practice-wide initiatives, including the practice's ongoing EHR transition, by coordinating staff training schedules and change-management communication as needed.

Qualifications

Required:

Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent combination of education and experience.
Minimum of 5 years of progressive HR experience, including employee relations and compliance responsibilities.
Working knowledge of federal and Minnesota employment law.
Strong interpersonal, written, and verbal communication skills.
Ability to travel regularly between OAD locations.

Preferred:

Prior HR experience in a healthcare or medical practice setting.
SHRM-CP, SHRM-SCP, PHR, or SPHR certification.
Experience supporting a multi-site organization.
Familiarity with medical staff credentialing processes.

Physical & Work Environment Requirements

Primarily an office environment with regular travel between clinic locations.
Occasional evening or early-morning availability for leadership meetings or urgent employee matters.
