Job Summary

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong organizational skills, technical proficiency, and excellent communication abilities to manage a variety of office functions with energy and professionalism. Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
Oversee office management tasks such as supply ordering, equipment maintenance, and workspace organization to ensure a productive environment.
Utilize productivity software including Microsoft Office applications, spreadsheets, and word processing tools to prepare reports, correspondence, and data entry tasks accurately.
Coordinate calendar management and schedule appointments or meetings for staff members, ensuring efficient time management.
Maintain accurate records using QuickBooks for basic bookkeeping functions and handle invoicing or expense tracking as needed.
Support client communication efforts through professional phone etiquette, email correspondence, and timely follow-up.
Assist with clerical duties such as proofreading documents, managing files, and ensuring data accuracy across various platforms.

Qualifications

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Experience with QuickBooks or similar accounting software is preferred.
Excellent computer literacy skills including data entry, spreadsheets, and document processing.
Strong communication skills in both verbal and written forms; bilingual ability is a plus.
Prior experience working at a front desk or medical receptionist role is advantageous.
Demonstrated ability to multitask efficiently while maintaining attention to detail; time management skills are essential.
Clerical experience including phone communication, proofreading, and customer support responsibilities.
