Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Duties

Manage front desk operations, greeting visitors and clients with professionalism and warmth
Answer multi-line phone systems promptly, directing calls accurately and courteously
Perform data entry tasks using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
Assist with calendar management and scheduling appointments for staff and executives
Support office management activities including supply inventory, order processing, and basic bookkeeping using QuickBooks or similar software
Provide excellent customer service by responding to inquiries via phone, email, or in person, ensuring client communication is clear and professional

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer literacy with experience in data entry, file management, and document proofreading
Familiarity with QuickBooks for bookkeeping tasks and basic office management functions
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional phone etiquette with experience handling multi-line phone systems and client communication
Bilingual abilities are a plus to serve diverse clients and team members effectively
Previous office experience or administrative background preferred; experience as a dental or medical receptionist or personal assistant is advantageous
Strong time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
