Primary Position Duties

Business Setting

We are looking for an experienced medical receptionist who works well independently, collaborates effectively with small teams, and possesses exceptional organizational skills. This person will serve as the primary point of contact for our patients, coordinating appointments, laboratory studies, diagnostic testing, referrals, and patient communications with efficiency, professionalism, and compassion.

Integrity, maturity, and strong character are essential to this position. Exceptional people skills, attention to detail, and an understanding of the healthcare environment are key to success.

On a typical day you will interact with an average of 17 patients, keeping you engaged from start to finish as we strive to provide exceptional care in an efficient, respectful, and mature environment. You will play an integral role in making this a reality.

Primary Responsibilities & Essential Duties

Operate a multi-line telephone system to answer, screen, and forward calls; provide information; take messages; and schedule appointments.
Welcome patients, determine the nature and purpose of their visit, and direct or escort them appropriately.
Schedule and maintain appointments, referrals, laboratory studies, and diagnostic testing.
Resolve patient questions and concerns professionally while providing exceptional customer service.
Maintain accurate and confidential patient records.
Observe, receive, and obtain information from appropriate sources while maintaining confidentiality.
Utilize Apple (Mac) computers, electronic health records (EHR), practice management software, and other office technology to manage patient information, schedule appointments, and support daily clinic operations.
Communicate effectively with physicians, nurses, patients, co-workers, and outside healthcare providers by telephone, written correspondence, email, and in person.
Proficiency in venipuncture (blood draws) is strongly preferred and may be utilized to support patient care and clinic workflow when appropriate.

Education or Skills

Knowledge, Skills & Abilities

Knowledge of administrative and clerical procedures, including word processing, file management, records management, office procedures, and medical office terminology.
Knowledge of principles and processes for providing outstanding patient service, including patient needs assessment, quality standards, and patient satisfaction.
Strong working knowledge of Apple (Mac) computers, macOS, and office technology.
Ability to learn and effectively utilize Electronic Health Records (EHR), practice management software, and other healthcare applications.
Ability to give full attention to others, understand information being communicated, and ask appropriate questions.
Excellent verbal and written communication skills.
Strong interpersonal skills with a genuine desire to help people.
Ability to use sound judgment, logic, and reasoning to solve problems and improve workflow.
Ability to read, understand, and communicate written information accurately.

Position Requirements

Physical Demands

This position works primarily in an office environment. Duties include frequent sitting, standing, bending, lifting up to 50 pounds, climbing stairs, and accessing areas that may not be ADA accessible.

Required Education and Experience

High school diploma or equivalent.
Five (5) years of experience in a medical office or healthcare environment.
Five (5) years of medical front office or medical receptionist experience.

Preferred Experience

Associate degree in a healthcare-related field.
Ten (10) years of experience in the healthcare industry.
Experience working in an outpatient internal medicine practice.
Proficiency performing venipuncture (phlebotomy) in a clinical setting.
Experience using Apple (Mac) computers in a professional office environment.

Work Authorization

Must be able to pass a background check.
Must provide three (3) professional references.
