Full Job Description

Deshaw Wellness and Aesthetics Center is seeking an energetic, compassionate, and detail-oriented Medical Assistant/Medical Receptionist to join our growing medical spa. This position combines front office, clinical assisting, and patient care responsibilities while delivering an exceptional concierge patient experience.

The ideal candidate has previous medical spa or cosmetic practice experience, enjoys interacting with patients, possesses excellent organizational skills, and thrives in a fast-paced environment.

Essential Duties and Responsibilities

Front Office Responsibilities

· Welcome patients with professionalism and warmth.

· Answer incoming telephone calls and respond to patient inquiries.

· Schedule new consultations, follow-up appointments, cosmetic procedures, and wellness visits.

· Verify demographic information and obtain required documentation.

· Confirm appointments and perform reminder calls/texts.

· Collect copays, self-pay balances, and cosmetic treatment payments.

· Explain financing options, treatment packages, memberships, and promotions.

· Maintain patient confidentiality at all times.

· Maintain a welcoming reception area.

Clinical Responsibilities

· Escort patients to treatment rooms.

· Obtain medical history, medications, allergies, and vital signs.

· Prepare patients for aesthetic consultations and treatments.

· Assist providers with:

o Botox®

o Dermal Fillers

o PRP

o Microneedling

o Chemical Peels

o Laser Procedures

o Wellness Injections

o Weight Management Services

o IV Therapy

o Functional Medicine Visits

· Prepare sterile trays and treatment rooms.

· Maintain procedure rooms throughout the day.

· Clean and disinfect rooms between every patient.

· Sterilize instruments according to OSHA and CDC guidelines.

· Operate autoclave and maintain sterilization logs.

· Stock examination and treatment rooms.

· Maintain inventory of medical and cosmetic supplies.

· Notify management when supplies require ordering.

Patient Care

· Provide outstanding concierge-level patient service.

· Educate patients regarding pre-treatment and post-treatment instructions.

· Review consent forms with patients.

· Assist providers with patient education.

· Answer routine patient questions within scope of practice.

· Coordinate prescription requests as directed by providers.

· Perform follow-up calls after cosmetic procedures.

· Document all patient communications in the EMR.

Aesthetic Responsibilities

· Take standardized before-and-after photographs.

· Ensure photography consent forms are completed.

· Assist with aesthetic consultations.

· Educate patients regarding available cosmetic treatments.

· Discuss skincare regimens recommended by providers.

· Assist with retail skincare recommendations.

· Promote memberships and treatment packages.

· Assist during special events, open houses, and promotional activities.

Administrative Responsibilities

· Maintain accurate electronic medical records.

· Scan and upload documents.

· Complete prior authorizations if assigned.

· Process referrals when needed.

· Coordinate laboratory specimens.

· Assist providers with chart preparation.

· Complete assigned administrative projects.

Office Responsibilities

· Maintain cleanliness of:

o Reception area

o Treatment rooms

o Restrooms

o Break room

o Clinical workstations

· Empty trash daily.

· Restock office supplies.

· Maintain a professional appearance of the office.

· Assist with opening and closing procedures.

Compliance

Employee shall comply with:

· OSHA

· HIPAA

· Infection Control Standards

· CLIA (if applicable)

· Bloodborne Pathogen Standards

· Practice Policies and Procedures

· Federal and State Regulations

Report compliance concerns immediately to management.

Qualifications

Required

· High School Diploma or GED

· Medical Assistant Certificate preferred

· CPR Certification

· Excellent computer skills

· Strong customer service skills

· Professional appearance

· Excellent verbal and written communication

· Ability to multitask

· Ability to work independently and as part of a team

Preferred

· Minimum 1–2 years Medical Assistant experience

· Previous medical spa, cosmetic surgery, dermatology, plastic surgery, or aesthetics experience

· EMR experience

· Knowledge of aesthetic procedures

· Knowledge of cosmetic injectables

· Knowledge of medical-grade skincare products

Technical Skills

Work Schedule

Part-Time (18–32 hours/week)

Typical schedule:

· Tuesday through Saturday

· Evening and weekend availability may be required based on patient appointments and special events.

Preferred Qualifications

· Previous Medical Spa experience required

· Experience assisting with cosmetic injectables preferred

· Experience with wellness or functional medicine preferred

· Sales or retail skincare experience a plus

· Bilingual (Chinese or Korean) a plus

Pay: $20.00 - $23.00 per hour
