Schedule: Mon-Fri 8a-5pm.

JOB PURPOSE

Perform the work of Accounts Receivable, Credit & Collections concerning receiving payments and other accounting functions. Resolve discrepancies and communicate with customers.

JOB RESPONSIBILITY SUMMARY

Perform duties relating to Accounts Receivable:

· Verify incoming receivables (check, wire, credit card) against invoices

· Input all checks through remote scanner to upload to bank

· Apply receivables to customer’s account in system

· Verify receivables against bank statements

· Prepare bank deposit slip for Canadian customers and take to the bank every Friday

· Run credit cards as needed

· Research and resolve discrepancies

· File necessary documents

Perform duties relating to Credit and Collections:

· Enter data into Collection Management System

· Monitor Dashboard Aging

· Contact delinquent customers via email or escalate to phone calls to discuss payment status

Perform duties relating to General Office:

· Weekly visit to Bank to make deposits

· Post office and mailbox run 3 times per week

· Answer telephone

· Provide support for other staff

· General office duties as assigned

REQUIRED KNOWLEDGE, SKILLS, & ABILITIES

Education/Credentials

Associates degree in Accounting or related field preferred but not required

Experience

Minimum of 1-2 years of experience in Accounts Payable, Receivable and /or general

Preferred but not required. Minimum of 1-2 years of general office experience.

Knowledge/Competencies

Mathematical aptitude.

Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone and in writing.

Ability to work independently and resolve practical problems.

Excellent organizational skills and ability to work well under stress, despite numerous interruptions.

High accuracy and attention to detail.

Must have strong computer skills in word processing, spreadsheets, internet (Microsoft Word, Excel and Outlook).

Knowledge of administrative and clerical procedures such as managing files and records and other office procedures and terminology.

Ability to manage one's own time.

Communicate effectively with persons outside organization; representing the organization to customers, the public and other external sources. This information can be exchanged in person, in writing, or by telephone or e-mail.

Accurate use of typical office equipment such as: calculator, FAX, telephone, copier, etc.

Ability to take direction
