Full Job Description

Job Summary
We are seeking a highly organized and proactive Executive Administrator to support our executive team. We are a large real estate company, with a small and professional office. This is a long term position we are looking to fill with a professional who will answer directly to 1-4 partners in our firm and be the first point of contact with external third parties we work with.

The ideal candidate will possess exceptional organizational skills, proficiency with Quickbooks and Microsoft Office. You must have a basic understanding and prior experience with them. We will evaluate these capabilities throughout the interview process.. This role requires a detail-oriented individual who can handle various administrative tasks.

Responsibilities

Manage emails with a fast response rate.
Daily mail pick ups and scanning.
Data entry.
Invoicing.
Organizing digital documents.
Limited but effective operation of phone systems, managing calls and messages.
Clerical duties such as filing, and correspondence management.
Limited errands outside of the office (bank, post office etc.).

Experience

Proven experience as a receptionist, office management or administrative roles is preferred.
Familiarity with calendar management tools and techniques is essential.
Strong customer service skills with a focus on building positive relationships.
Typing skills with attention to detail in all written communications.
Previous experience as a personal assistant is a plus.
