Leasing Professional

Job Type: Full-Time
Reports To: Area Manager

Position Summary

The Leasing Professional is responsible for creating an exceptional first impression for prospective and current residents while driving occupancy, resident retention, and revenue growth. This position serves as the face of the community by delivering outstanding customer service, building relationships, and guiding prospects through the leasing process from initial inquiry to move-in.

The Leasing Professional is expected to consistently meet leasing goals, maintain strong product knowledge, execute marketing initiatives, and ensure compliance with company policies, Standard Operating Procedures (SOPs), and Fair Housing regulations. This role works closely with the Area Manager to maximize occupancy and enhance the resident experience.

A successful Leasing Professional is energetic, approachable, and driven to achieve results. They are highly organized, communicate effectively, and consistently deliver outstanding customer experience. They take ownership of their performance, follow company processes, and work collaboratively with the management team to achieve occupancy, revenue, and resident retention goals while representing the community with professionalism and integrity.

Essential Responsibilities

Leasing & Sales

Respond to all prospect inquiries promptly through phone, email, text, website, and walk-in traffic.
Follow company lead response standards, ensuring all new leads are contacted within the required timeframe.
Conduct professional apartment tours tailored to each prospect's needs.
Maintain high-quality show units to ensure a positive leasing experience.
Build value in the community by highlighting apartment features, amenities, neighborhood benefits, and company service standards.
Overcome objections and confidently ask for the lease.
Maintain consistent follow-up with prospects until a leasing decision is made.
Process rental applications accurately and efficiently.
Prepare lease documents and coordinate move-in appointments.
Achieve individual leasing, occupancy, and conversion goals.

Customer Service

Deliver exceptional service to prospects, residents, and guests.
Build positive relationships with current residents to encourage lease renewals and referrals.
Assist residents with questions regarding leases, payments, maintenance requests, and community policies.
Resolve concerns professionally or escalate issues to management when appropriate.
Maintain a welcoming, professional, and organized leasing office environment.

Marketing Responsibilities

Maintain accurate and appealing online apartment listings.
Assist with social media content, resident engagement, and marketing campaigns, as needed.
Participate in outreach marketing and local business partnerships, as needed.
Ensure all marketing materials accurately reflect current pricing, availability, and promotions.
Maintain curb appeal by reporting any concerns observed during daily property walks.

Daily Property Walk Expectations

Complete a daily walk of the leasing path, including:

Leasing office
Show units
Tour route
Amenities
Parking areas
Building entrances
Vacant apartment exteriors
Signage
Curb appeal

All show units are required to be sparkled at least 3 times per week by the Leasing Professional. The Leasing Professional is required to maintain the sparkle bucket with adequate cleaning products and communicate with the Area Manager to order additional supplies when necessary.

Report any maintenance concerns immediately to management.

Resident Retention

Promote resident satisfaction through proactive communication.
Plan and coordinate monthly resident events and community activities.
Encourage online reviews and resident referrals.
Support lease renewal initiatives by maintaining positive resident relationships.
Follow up with residents after move-in to ensure satisfaction.
Follow up with residents after maintenance requests are completed to ensure satisfaction.

Administrative Responsibilities

Maintain accurate prospect and resident records in AppFolio.
Document all prospect and resident interactions.
Process applications, leases, renewals, notices, and move-in documentation.
Ensure lease files are complete and compliant.
Assist with filing, reporting, and office organization.
Assist with posting legal notices and/or inspection notices to apartment doors, when necessary

Fair Housing & Compliance

Conduct all leasing activities in compliance with Fair Housing laws and company policies.
Apply company screening criteria consistently and without exception.
Maintain confidentiality of resident and prospect information.
Complete all required compliance and Fair Housing training.

Key Performance Indicators (KPIs)

Performance will be evaluated based on:

Lease conversion percentage
Tour-to-lease ratio
Closing percentage
Lead response time
Prospect follow-up completion
Applications received
Leases signed
Move-ins
Resident referrals
Lease renewal participation
Resident satisfaction
Online review generation
Secret shop scores
Leasing file audit scores
Attendance and punctuality
SOP compliance

Qualifications

Required

High school diploma or equivalent.
One year of customer service or sales experience preferred.
Strong communication and interpersonal skills.
Ability to build rapport and confidently close sales.
Excellent organization and time management skills.
Basic computer proficiency, including Microsoft Office.
Ability to learn AppFolio or other property management software.

Preferred

Previous multifamily leasing experience.
Knowledge of Fair Housing regulations.
Experience in hospitality, retail sales, or customer service.
Bilingual candidates are encouraged to apply.

Physical Requirements

Ability to walk the property multiple times each day.
Ability to stand for extended periods while conducting tours.
Ability to climb stairs and access all areas of the community.
Occasionally lift up to 25 pounds.
Ability to work indoors and outdoors in varying weather conditions.
