Position Summary:
In this role, you will provide high-level administrative support to department leadership and the Executive Leadership Team, help coordinate priorities, and ensure seamless day-to-day operations. You'll serve as a trusted resource for administrative processes, independently managing a variety of complex responsibilities while exercising sound judgment and discretion. You'll contribute to process improvements, support onboarding and training, and help elevate the effectiveness and efficiency of administrative operations across the organization.
Primary Responsibilities:
- Provide high-quality administrative support to department leadership, anticipating routine needs and ensuring timely completion of administrative activities.
- Coordinate complex calendars, meetings, conference rooms, and department events while resolving scheduling conflicts and changing priorities.
- Prepare correspondence, reports, presentations, meeting materials, and other business documents with a high degree of accuracy.
- Coordinate and schedule officer-level candidate interviews by collaborating with Human Resources, hiring managers, and candidates to deliver an efficient, professional, and positive recruitment experience.
- Coordinate travel arrangements, expense reporting, and other administrative logistics, as assigned.
- Maintain department records, files, procedures, and confidential information in accordance with company policies.
- Serve as a primary administrative resource for assigned departments by responding to questions and resolving routine administrative issues independently.
- Coordinate projects and administrative activities involving multiple departments to ensure timely completion of deliverables.
- Recommend improvements to administrative processes, procedures, and workflows that increase efficiency and service quality.
- Assist with onboarding, training, and providing guidance to Administrative Assistants and other administrative support staff on departmental procedures and administrative best practices.
- Build positive working relationships with employees across departments while providing excellent internal customer service.
- Communicate professionally with employees, managers, vendors, customers, and other external business partners.
- Serve as backup support for other administrative functions during periods of absence or increased workload.
- Perform other duties as assigned.
Qualifications:
- Must be legally authorized to work in the United States
- 3+ years of progressively responsible administrative experience in a professional office environment.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Demonstrated ability to analyze situations, exercise sound judgment, and resolve routine and moderately complex administrative issues independently.
- Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Strong attention to detail and commitment to producing accurate, high-quality work.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Ability to collaborate effectively across departments and build positive working relationships.
- Experience assisting with training, onboarding, or mentoring administrative staff preferred.
