Full Job Description

If you have worked the front office of a small healthcare practice — a chiropractic office, a therapy clinic, a small medical, dental, or optometry practice — and you know your way around insurance verification, this role is built on exactly that experience.

We are looking for the third member of our administrative team. You would handle the insurance side of patient care and back up our front desk. In a clinic our size, that work is felt directly: patients experience the financial side of their care almost entirely through this role, and getting it right is a large part of why people trust us.

What you would be doing

Insurance and billing

Verifying patient benefits before their first visit
Requesting and tracking prior authorizations
Submitting claims and following up on the ones that do not come back clean
Posting payments
Calling payers when something does not add up, and staying with it until it is resolved

Much of this work happens over the phone and in payer portals, so being comfortable and pleasant on a call matters. You would work closely with our administrative lead, who trains you on our process and works through the harder claims and denials with you. Nobody here figures this out alone.

Working with patients about cost

Our administrative lead sits down with patients before they begin care and walks them through their coverage and what treatment will cost. After training, you would become her backup on those conversations. If you have done care plan or financial consultations in a chiropractic or therapy office, you already know this work.

Front desk support

Our Front Desk Coordinator owns the front desk day to day. You would back her up — checking patients in and out, answering phones, scheduling — when she needs a hand or is out of the office.

What we are looking for

Experience in a healthcare office, ideally a small one. Chiropractic, physical therapy, dental, optometry, or a small medical practice all translate well here.
Some exposure to insurance verification, authorizations, or claims. You do not need to be an expert — we will train you on our process. We do need you to have seen this kind of work before.
Comfort talking with patients about money in a way that is clear and kind at the same time
Someone who asks when they are not sure, rather than guessing
Someone who notices when a teammate could use a hand and steps in without being asked

Our schedule

Full-time, no nights and no weekends:

Monday, Tuesday, Thursday: 8:00 AM – 6:15 PM (one-hour lunch)
Wednesday: 1:00 PM – 6:15 PM
Friday: 8:00 AM – 1:00 PM

About every other month we host an evening sound bath, with check-in running until roughly 7:00 PM.
