Full Job Description

Job Overview
We are seeking a dynamic and detail-oriented Chargebacks, Credits & Rebates Coordinator to join our finance team. In this pivotal role, you will manage the resolution of chargebacks, processing of credits, and administration of rebate programs to ensure accurate financial reconciliation and optimal cash flow. Your expertise will help maintain compliance with accounting standards and enhance customer satisfaction through efficient dispute resolution. This position offers an exciting opportunity to contribute to our revenue cycle management and support our commitment to financial integrity and operational excellence.

Contracts & Pricing Administration

· Maintain customer and vendor contract terms (pricing, rebates, GPO agreements)

· Ensure correct pricing is applied in ERP (SAP)

· Validate contract eligibility for customers (pharmacies, hospitals, etc.)

Chargebacks Processing

· Review and process manufacturer chargebacks

· Reconcile:

o Contract price vs distributor sell price

o Manufacturer reimbursements

· Investigate discrepancies and short pays

· Work directly with manufacturers, Customers and Internal Sales Team

Vendor Credits & Rebates

· Track and reconcile:

o Vendor rebates

o Volume incentives

o promotional credits

o Returns

o SSA (shelve Stock adjustments)

· Submit claims to manufacturers/vendors

· Monitor aging and follow up on unpaid credits

Financial Reconciliation & Analysis

· Analyze:

o Purchase activity

o Credits / returns

o Margin impact

· Identify errors in pricing or contract setup

---

Vendor & Customer Coordination

· Work with:

o Vendors/manufacturers

o Sales team

o Customer service

o Warehouse/logistics/Purchasing

· Resolve disputes on pricing, credits, or eligibility

Systems & Documentation

· Heavy use of:

o Excel (advanced)

o ERP (SAP)

· Maintain logs, audit trails, and documentation (important for regulatory and financial audits)

Typical Requirements

· 2–5+ years experience in:

o Pharma distribution

o chargebacks / rebates / contracts / AP / AR

· Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP)

· ERP experience (SAP preferred)

· Detail-oriented, high accuracy mindset

Duties

Analyze and resolve chargeback disputes by reviewing transaction data, supporting documentation, and communicating with customers or vendors to facilitate swift resolution
Process credits and rebates accurately within accounting software such as QuickBooks, Sage, or PeopleSoft, ensuring proper documentation and compliance with GAAP standards
Reconcile accounts receivable transactions, perform account analysis, and prepare journal entries for adjustments related to chargebacks, credits, and rebates
Collaborate with sales, customer service, and finance teams to resolve discrepancies related to medical billing, CPT coding, ICD-10 coding, or revenue cycle issues
Maintain detailed records of all transactions using data entry skills and double-entry bookkeeping principles while adhering to SOX compliance requirements
Conduct regular account reconciliation activities to identify discrepancies and ensure the integrity of financial data
Support audit processes by preparing documentation related to governmental accounting standards and internal controls

Skills

Strong understanding of financial concepts including debits & credits, journal entries, account reconciliation, and analysis skills
Proficiency in accounting software such as QuickBooks, Sage, PeopleSoft, or similar platforms; experience with financial software is highly desirable
Knowledge of SOX compliance standards and GAAP accounting principles for accurate financial reporting
Experience with accounts receivable/payable processes, revenue cycle management, and medical billing procedures including CPT coding and ICD-10 terminology
Excellent negotiation skills for dispute resolution with customers or vendors; strong phone etiquette for professional communication
Data entry accuracy with 10 key typing skills; attention to detail in bookkeeping and account analysis tasks
Familiarity with governmental accounting standards and non-profit accounting practices is a plus
Ability to interpret complex financial data using analysis skills; strong math skills for accurate calculations in credit analysis and account adjustments
