Medical Assistant (with Content & Marketing Support)

What this job actually is

This is the most important hire we'll make this year, so I'll be straight about it.

I'm the bottleneck. Patients wait on me for things that shouldn't require me — chart prep, follow-up, coordination, documentation. I need one organized, capable person to take that load off my plate so I can do the part only I can do: figure out what's actually wrong with people and treat it.

This is not a front desk job. It's a right-hand role. You'll run the operations of a regenerative medicine practice that treats chronic pain, autoimmune and inflammatory conditions, post-viral illness, and complex cases other clinics gave up on. You'll become the person who makes the clinic run whether I'm in the room or not.

The core of the role — Clinical Operations & Coordination

This is the job. Everything else is secondary.

Prep patient charts before every appointment so nothing is missing when they sit down
Review intake paperwork and chase down what's incomplete before the visit, not during it
Coordinate scheduling, recalls, and follow-up communication so no patient falls through the cracks
Track referrals, imaging, and lab results — know where every pending item stands
Scribe and prepare documentation under my direction (SOAP notes and visit records — I make the clinical calls; you make sure they're captured accurately)
Prepare treatment rooms and patient education materials before each visit
Run pre-visit and post-visit protocols so the patient experience is consistent every time

Operations & Administration

Manage my calendar and the clinic's scheduling
Keep projects, tasks, and deadlines organized and moving
Coordinate vendors, labs, and outside contacts
Maintain and improve the systems and workflows that keep the practice running
Get things done accurately and on time without being chased

Marketing & Content Support (the "plus" — secondary to the above)

You won't be the face of the brand — I am. You make my content happen and get it out the door, under my editorial direction:

Help record and organize my video content (you run production; I'm on camera)
Edit and schedule short-form clips and social posts from longer recordings
Manage our community channels and respond to engagement
Format and distribute educational content I've approved (I sign off on anything clinical before it's published)
Support email and outreach campaigns
Keep our posting consistent so the channel actually grows

Who you are

Background as a medical assistant, chiropractic assistant, patient coordinator, or in healthcare/practice administration (strongly preferred — the clinical side is the priority)
Genuinely organized and detail-oriented — you catch the missing lab result before it's a problem
Comfortable with technology and fast at learning new software
A clear, professional communicator with patients and on the phone
Able to run several projects at once without dropping any
Self-directed and proactive — you see what needs doing and do it
Trustworthy with sensitive medical information and discreet by nature

Bonus

Experience in regenerative, integrative, wellness, or aesthetic medicine
EHR/CRM experience (we use [EHR/CRM name])
Comfort with content tools — Canva, basic video editing, scheduling platforms
A real interest in health, recovery, and how the body heals

What success looks like

By day 30: You own chart prep and intake review. I walk into every appointment with a complete chart, and I stop touching scheduling.

By day 60: Follow-up, recalls, and result-tracking run through you. No patient waits on me for a callback or a pending lab. Documentation is captured cleanly the same day.

By day 90: The clinic runs on your systems. My administrative time is cut sharply. Our content goes out on a consistent schedule. I'm spending my hours on patients, not paperwork — because you've taken the rest.

The measure of this role is simple: how much of my plate is now yours.
