Job Description:
The Logistics Mission Support, General Clerk III, position provides comprehensive administrative and logistics support to ensure efficient branch operations, technical order management, and regulatory compliance. This role serves as the site Technical Order Distribution Office (TODO) representative, responsible for maintaining and distributing technical orders and manuals, managing electronic databases and records systems, coordinating training and newcomer orientation activities, and supporting logistics-related communications, reporting, and documentation. The position also maintains branch SharePoint resources, prepares presentations and correspondence, coordinates recurring logistics meetings, and ensures proper document control and records management across the organization.
Additionally, the role supports vehicle and environmental compliance programs by maintaining vehicle management documentation, monitoring odometer and certification reporting requirements, administering employee vehicle registration and APIMS data entry, and ensuring continuity of logistics and vehicle management programs in accordance with applicable Air Force and organizational guidance. The ideal candidate is highly organized, detail-oriented, and capable of coordinating across multiple functional areas while maintaining accurate records, schedules, and compliance documentation.
Essential Functions:
- Manage Technical Order Distribution Office (TODO) operations, including digitizing, updating, validating, and distributing technical orders and COTS manuals through TDS and ETIMS systems.
- Maintain and process technical order account information, ensuring compliance with AirForce logistics and documentation procedures.
- Train account holders on document control, TDS/ETIMS usage, QA software access, and proper handling and distribution of technical publications.
- Maintain Logistics Branch SharePoint sites, training materials, briefing content, appointment letters, and archived documentation for organizational continuity.
- Coordinate newcomer orientation logistics, distributed onboarding packages, and provisioned access to logistics-related databases and systems.
- Provide administrative and computer support for meetings, briefings, presentations, official correspondence, and government reports requiring signature coordination.
- Schedule and coordinate monthly logistics data meetings, consolidated briefing materials, and maintained organized digital archives of records and presentations.
- Manage AF Employee-vehicle Certification and Reporting System (ECARS) database. Ensure registration in Air Program Information Management System (APIMS) database of all personally owned vehicles that are operated on the site.
- Conduct periodic reviews and updates of SOPs, OIs, training materials, and operational documents to ensure accuracy and regulatory compliance.
- Serve as branch in/out processing point of contact, maintaining continuity of logistics programs, appointment letters, and personnel accountability records.
- Assist VCO in managing vehicle custodian program requirements, including inventory verification, odometer reporting, training documentation, vehicle records management, and compliance with Vehicle Management Guidebook procedures.
Requirements:
Requires a high school diploma or its equivalent with one to three (1-3) previous years of experience in the field or in a related area. Proven teamwork and interpersonal skills and ability to plan, organize, analyze and problem solve under the direction of a senior engineering technician or a cognizant engineer. Proactive in determining goals and objectives and pursuing the necessary course of action. The successful individual will be capable of working independently and as part of a multi-disciplinary team. The individual must have good written and oral communication skills. Further, the individual must be a motivated self-starter who can articulate new ideas to members of the Executive Management Team, the Exquadrum organization as a whole, and customers and prospects. The candidate must have or be capable of obtaining a government security clearance. The individual must have a valid, state issued, driver’s license.
Physical Demands:
Individuals may need to sit or stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday. Will require working in both indoor and outdoor environments. Proper lifting techniques required.
Work Environment:
The performance of this position may require exposure to the manufacturing and laboratory areas, where under certain conditions require the use of personal equipment such as safety shoes, safety glasses with side shields, mandatory hearing protection, and/or protective gloves.
