About the Role:

The Air Force Test Center is looking for a Full-Time Secretary (NK-0086-02) to work at at the 412th Security Forces Squadron (412SFS/CCQ), at Edwards AFB, CA.

To serve as principal office assistant performing various administrative and clerical duties in support of the organization. Performs office automation duties such as word processing in support of the administrative and clerical work. The position is located in a multi-layered organization, with subordinate groups which differ from each other in terms of subject matter, functions, relationships with other organizations, and administrative requirements. There is a system of formal internal procedures and administrative controls, formal coordination among subordinate units, and a formal progress reporting system which sufficiently complex to require continuous attention on the part of the secretary.

Prefer 1 year’s secretary experience working with various office automation software(Word, PDF, Outlook, Excel)

Prefer 2 years of experience working with/assisting internal/external customers in an office environment

Prefer 2 years of experience organizing (creating/planning/executing) tasks.

Major Duties:

Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents from information obtained from the staff, files, and other sources.

Coordinates/forwards correspondence to appropriate office updating suspense tracking systems as required.

Performs as the FSS organizational POC for all matters concerning workflow and task management on behalf of the Commander.

Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives.

Reads incoming correspondence, publications, regulations, and directives which may affect the organization, determining which can be acted on personally and taking appropriate action, such as obtaining clarification from originating offices when necessary, preparing a summary for Commander’s information, determining which ones impact/affect subordinate units and ensuring units are informed, and assisting administrative and clerical personnel in interpreting instructions and establishing action required of them.

Establishes suspense dates and brings to commander’s attention those that cannot be met by requested date or when there is a conflict.

Informs commander of conflicts, reschedules appointments when the commander will not be able to make all commitments, contacts other people to attend meetings in lieu of commander when necessary, and makes calendar available to commander and others to minimize conflicts in scheduling.

Uses multiple office automation (OA) software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets.

Qualifications/Requirements:

Obtain & maintain security clearance.
Prepares a wide variety of recurring and nonrecurring, correspondence, reports, and other documents and reviews-and finalizes correspondence/documents prepared by others in handwritten or electronic drafts
Reviews and processes incoming and outgoing correspondence, materials, publications, regulations and directives. Screens incoming mail to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, rerouted to other organizations/offices, or handled personally.
Receives telephone calls, greets visitors, and ascertains the nature of the calls or visits.
Maintains supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences. Schedules appointments and meetings without prior approval in accordance with supervisor's policies and priorities, and coordinates with the supervisor as necessary.
Performs other administrative and clerical work in support of the office/organization
Uses varied and advanced functions of word processing software to create, format, modify, edit, and print a variety of letters, reports, memos, and other textual documents..
